Position Overview

We are seeking a highly organized and detail-oriented Administrative Manager to oversee the efficient operation of our clinic’s administrative functions. This role is pivotal in ensuring seamless patient experiences, maintaining compliance with healthcare regulations, and supporting the clinic’s operational goals. The ideal candidate will possess strong leadership, communication, and problem-solving skills, with a commitment to delivering exceptional service and fostering a professional work environment.

Key Responsibilities

As an Administrative Manager, you will play a central role in managing front-office operations, patient interactions, and administrative workflows. Your duties will include:

  • Patient Relations and Front Desk Management:
    • Greet and welcome patients in a professional, courteous, and friendly manner, ensuring a positive first impression.
    • Address patient inquiries, concerns, and feedback with empathy, efficiency, and professionalism.
    • Maintain a clean, inviting, and well-organized reception area to enhance the patient experience.
    • Collect patient feedback and contribute to initiatives aimed at improving service quality and operational efficiency.
  • Appointment Scheduling and Management:
    • Manage patient appointment schedules, ensuring optimal utilization of clinic resources and minimizing wait times.
    • Confirm appointments, send reminders, and handle cancellations or rescheduling requests promptly and accurately.
    • Coordinate schedules and meetings for clinical staff to support seamless daily operations.
  • Administrative and Compliance Duties:
    • Maintain and update patient records, documentation, and confidential information in strict adherence to privacy regulations, including HIPAA.
    • Prepare and distribute internal communications, reports, and documentation as required by clinic policies and procedures.
    • Verify patient insurance eligibility and coverage prior to appointments, ensuring all necessary authorizations are obtained.
    • Collect patient co-payments and outstanding balances at the time of service, handling transactions securely and accurately.
    • Collaborate with the Revenue Cycle Management Department to enhance communication and streamline workflows for insurance-related processes.
  • Team Leadership and Development:
    • Mentor and guide new staff or interns in administrative tasks, patient interaction protocols, and office procedures.
    • Promote a collaborative team environment by participating in staff meetings, in-service training, and continuing education opportunities.
    • Ensure all team members adhere to company policies, safety standards, and regulatory compliance.
  • Operational and Safety Compliance:
    • Uphold health and safety regulations, including the use of personal protective equipment (PPE) and maintaining a clean work environment.
    • Participate in quality assurance initiatives to ensure the clinic meets or exceeds industry standards for patient care and operational excellence.
    • Perform additional duties as assigned to support the clinic’s mission and objectives.

Qualifications and Requirements

To excel in this role, candidates must meet the following qualifications:

  • Education: Bachelor’s degree in Healthcare Administration, Business Administration, or a related field.
  • Experience: While prior experience is not mandatory, a Bachelor’s degree is required. Candidates with relevant administrative or healthcare experience will be strongly considered.
  • Certifications: A Certified Project Management Professional (PMP) designation is a valuable asset and demonstrates advanced organizational and leadership capabilities.
  • Skills and Competencies:
    • Exceptional communication and interpersonal skills, with the ability to interact professionally with patients, staff, and external stakeholders.
    • Strong organizational and time-management abilities, with a keen attention to detail.
    • Proficiency in office software, including electronic health record (EHR) systems and Microsoft Office Suite.
