Position Overview

Join our dynamic team as a Remote File Clerk, where precision, organization, and confidentiality are paramount. In this critical role, you will ensure that digital and scanned records are meticulously maintained, accurately indexed, and fully compliant with organizational and regulatory standards. Your responsibilities will span across multiple departments, enabling seamless document management while supporting high-volume workflows that demand both speed and accuracy. Key Responsibilities

As a Remote File Clerk, your core duties will include:

  • Document Intake and Indexing: Receive files from various sources, including shared inboxes, internal portals, ticketing systems, and cloud-based folders. Verify the completeness of each document by confirming required fields, signatures, and attachments. Utilize standardized metadata to index records, ensuring they are tagged with essential details such as client or project ID, date, document category, version, and region.
  • Document Organization and Conversion: Implement and adhere to standardized naming conventions and folder structures to maintain consistency across repositories. Perform necessary format conversions, such as merging or splitting PDFs, converting images to PDFs, compressing files, and applying version labels. Manage controlled libraries by categorizing documents as final, draft, or archived, and apply retention tags to ensure compliance with organizational policies.
  • Quality Control and Process Improvement: Conduct daily spot checks to identify duplicates, misfiled documents, missing pages, and unreadable scans. Flag exceptions and escalate them to the appropriate stakeholders with clear, actionable notes. Maintain detailed error logs and contribute to process improvements aimed at reducing rework and enhancing efficiency.
  • Records Governance and Compliance: Handle sensitive records with the utmost care, ensuring strict adherence to access controls and confidentiality protocols. Follow established retention schedules, legal hold instructions, and deletion or archival rules. Support audit processes by quickly retrieving records and meticulously documenting the chain of custody to maintain compliance and transparency.
  • Collaboration and Communication: Act as a liaison between departments, including HR, Finance, Operations, Legal, and Customer teams, to clarify file requirements and resolve discrepancies. Provide timely status updates on backlog volumes, turnaround times, and any issues encountered during processing. Foster a collaborative environment by communicating effectively with cross-functional teams to ensure seamless document management.

Tools and Technologies

To excel in this role, you will utilize a variety of tools and platforms, including:

  • Cloud storage solutions such as Google Drive, SharePoint, or Dropbox.
  • Document management tools like Adobe Acrobat or equivalent software for PDF manipulation and organization.
  • Spreadsheet applications for tracking and reporting purposes.
  • Ticketing systems such as Jira, Asana, or ServiceNow for managing workflows and exceptions.
  • Electronic signature platforms for verifying document authenticity.
  • Basic office productivity tools to support daily operations.
