Your Role as Executive Assistant
As the Executive Assistant to the Managing Director in Jeddah, you will play a pivotal role in driving operational excellence and ensuring the seamless functioning of the executive office. This high-impact position demands a proactive, detail-oriented professional capable of providing strategic administrative and executive support. Your responsibilities will span a wide range of critical functions, from managing communications and coordinating high-level meetings to conducting research and preparing comprehensive reports. You will serve as the primary liaison between the Managing Director’s office and internal and external stakeholders, ensuring that all interactions are conducted with the utmost professionalism and efficiency.
Key Responsibilities
- Executive Support & Communication Management:
- Act as the primary point of contact for the Managing Director’s office, managing all incoming communications, including calls, emails, and correspondence, with a focus on prioritization and timely responses.
- Screen, filter, and escalate critical matters with well-informed recommendations to ensure the Managing Director remains fully informed and prepared.
- Review key documents and brief the Managing Director on priorities, risks, and required actions to support informed decision-making.
- Meetings, Events, & Project Coordination:
- Organize, coordinate, and participate in executive-level meetings, ensuring agendas, materials, and follow-ups are meticulously managed.
- Plan and execute high-profile events, engagements, and visits of VIP guests and stakeholders, maintaining a seamless and professional experience.
- Facilitate special assignments and directives on behalf of the Managing Director, ensuring alignment with strategic objectives.
- Assist in the preparation of presentations, reports, and other critical documents to support executive-level decision-making.
- Stakeholder Engagement & Relationship Management:
- Build and maintain strong professional relationships with senior management, external partners, and clients, acting as a trusted ambassador for the Group.
- Liaise effectively across departments and with external entities, including customers, suppliers, and partners, to ensure cohesive collaboration.
- Represent the Group with the highest level of professionalism, embodying its values and commitment to excellence.
- Reporting, Research & Strategic Support:
- Prepare detailed reports, presentations, and briefing materials tailored to the Managing Director’s requirements.
- Conduct in-depth research and compile data, including analytical and statistical reports, to support strategic initiatives.
- Calendar, Travel & Administrative Management:
- Manage the Managing Director’s calendar with precision, scheduling appointments and ensuring optimal time management.
- Coordinate travel arrangements, including itineraries, logistics, and expense tracking, in collaboration with relevant departments.
- Perform general office duties, such as ordering supplies and maintaining efficient records management systems.
Your Profile
To excel in this role, you must possess exceptional organizational skills, a keen eye for detail, and the ability to multitask in a fast-paced environment. A minimum of 5 years of experience as an Executive Assistant or in a similar high-level administrative role is required, preferably within a luxury, corporate, or multinational setting. Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and advanced knowledge of email and calendar management tools are essential. Fluency in English is mandatory, and proficiency in Arabic is highly desirable. The ideal candidate will demonstrate strong interpersonal skills, discretion, and the ability to work independently with minimal supervision while maintaining the highest standards of professionalism.
