Position Overview
As a Bid Coordinator at HDR, you will play a pivotal role in supporting our business development efforts by ensuring that our proposals are timely, accurate, and compelling. This position requires meticulous attention to detail, strong organizational skills, and the ability to collaborate effectively with cross-functional teams. You will be responsible for managing the entire proposal lifecycle, from reviewing solicitations to archiving final submissions, while maintaining high standards of quality and compliance. Your contributions will directly impact our ability to secure new projects and drive the growth of our organization.
Key Responsibilities
- Proposal Preparation and Coordination: Review Requests for Proposals (RFPs), Requests for Qualifications (RFQs), Expressions of Interest (EOIs), Pre-Qualification (PQ) documents, and other solicitations to identify project scope, requirements, and submission criteria. Prepare and coordinate comprehensive proposal submissions, including resumes, project experience sheets, interview materials, and presentation documentation.
- Content Management: Develop, maintain, and update proposal templates, boilerplates, and standard marketing content to ensure consistency and efficiency in our proposal development process.
- Documentation and Archiving: Systematically archive and file submitted proposals, presentations, and supporting materials to ensure easy retrieval and compliance with record-keeping requirements.
- Visual and Marketing Support: Arrange professional photography on projects to enhance proposals and support marketing initiatives, ensuring that our submissions are visually compelling and aligned with our brand standards.
- Opportunity Tracking: Monitor client portals, industry websites, and solicitation channels to identify new opportunities, track submission statuses, and stay informed about industry trends and client needs.
- Performance Analysis: Track proposal outcomes, gather feedback, and document lessons learned to continuously improve our submission strategies and increase our win rates.
- Compliance and Registration: Manage company registrations and updates across client and government portals to ensure that our organization remains eligible for new business opportunities.
- Data Management: Maintain accurate and up-to-date project and resume data within business development systems to support strategic decision-making and reporting.
- System Support: Assist in the maintenance and utilization of CRM and financial systems to generate reports, dashboards, and performance metrics that inform our business development strategies.
- Reporting and Documentation: Prepare regular proposal reports, including weekly and monthly updates on pipeline status, submission deadlines, win rates, workload distribution, and outcomes. Attend internal meetings and prepare documentation and memos to facilitate effective communication and decision-making.
Qualifications
Preferred Qualifications
- Bachelor’s degree in Business Administration, Engineering, Marketing, or a related field.
- 1–2 years of experience in proposals, bids, business development, or marketing, with a preference for roles in engineering or consultancy.
- Excellent written and verbal communication skills in English; proficiency in Arabic is considered a valuable asset.
- Strong organizational and time management skills, with the ability to prioritize tasks and meet deadlines in a fast-paced environment.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and familiarity with Adobe Creative Cloud, particularly InDesign, are highly desirable.
