  • Document Organization and Conversion:
    • Apply consistent naming conventions and folder structures to ensure logical and efficient file retrieval.
    • Perform format conversions as needed, including merging or splitting PDFs, converting images to PDFs, compressing files, and applying version labels.
    • Maintain controlled libraries by categorizing documents as final, draft, or archived, and applying appropriate retention tags.
  • Quality Control and Process Improvement:
    • Conduct daily spot checks to identify duplicates, misfiled documents, missing pages, or unreadable scans.
    • Flag exceptions and escalate issues to the appropriate stakeholders with clear, actionable notes.
    • Maintain detailed error logs and contribute to continuous process improvements to minimize rework and enhance efficiency.
  • Records Governance and Compliance:
    • Ensure strict adherence to confidentiality protocols and access controls when handling sensitive records.
    • Follow established retention schedules, legal hold instructions, and data deletion/archival policies.
    • Support internal and external audits by retrieving records promptly and documenting chain-of-custody procedures.
  • Collaboration and Communication:
    • Liaise with HR, Finance, Operations, Legal, and Customer Service teams to clarify file requirements and resolve discrepancies.
    • Provide timely updates on backlog status, processing turnaround times, and any issues encountered during document handling.

Qualifications and Skills

To qualify for this role, candidates should possess the following qualifications and competencies:

  • Proven experience in records management, administrative support, clerical work, or document control (highly preferred).
