Key Responsibilities
As an Administration/Accounting/Logistics Executive, you will play a critical role in supporting the daily operations of our Administrative & Logistics team. Reporting directly to the Customer Services Manager and Finance Manager, you will be responsible for a diverse range of tasks designed to enhance operational efficiency and ensure seamless business processes. Your core responsibilities will include:
- Logistics Management: Plan, coordinate, and monitor inbound and outbound logistics operations to ensure timely and cost-effective shipments. Prepare goods in accordance with DEDIENNE AEROSPACE’s stringent packaging standards and liaise with suppliers and logistics providers to resolve any shipment-related issues.
- Documentation and Compliance: Ensure accurate and timely submission of all shipping documentation, customs clearance records, and inventory updates. Maintain meticulous records of shipments, supplier transactions, and logistics activities, while adhering to regulatory requirements across multiple jurisdictions, including Saudi government portals such as Qiwa, Muqeem, Absher Business, Mudad, GOSI, ZATCA, and the Ministry of Commerce (MOC) portal.
- Administrative Support: Provide comprehensive clerical and administrative assistance to engineering, procurement, logistics, HR, and finance teams. This includes managing purchase orders, preparing monthly expense reports, maintaining filing systems (both digital and physical), and handling internal and external communications via email and phone.
- ERP and Data Management: Utilize ERP software to track logistics activities, update records, generate reports, and ensure data integrity. Assist with audits by maintaining accurate documentation and supporting compliance with local and international regulations.
- Office Operations: Monitor and manage office supplies, placing orders as needed to ensure cost-effectiveness and operational continuity. Coordinate with internal departments to address their administrative needs and provide timely solutions.
- Safety and Compliance: Adhere to all safety protocols and industry standards while performing daily assignments, ensuring a secure and compliant work environment.
Position and Reporting Structure
This role reports directly to the Customer Services Manager and Finance Manager, serving as a vital link between administrative, accounting, and logistics functions. The successful candidate will collaborate closely with cross-functional teams to streamline processes, enhance productivity, and support the company’s global operations.

- Proven experience in administration, accounting, or logistics, preferably within the aerospace, manufacturing, or industrial sectors.
- Proficiency in ERP systems and Microsoft Office Suite (Excel, Word, Outlook).
- Strong communication skills in English; additional language proficiency is a plus.
- Exceptional attention to detail and the ability to manage multiple priorities in a fast-paced environment.
- Familiarity with regulatory compliance, customs documentation, and international shipping standards.
