About the Role

Knight Frank, a globally renowned real estate consultancy, is seeking a highly skilled Document Controller to join our Project & Development Services Division in Riyadh, Saudi Arabia. This pivotal role will support an ongoing Project Management Consultancy (PMC) commission, ensuring the seamless execution of large-scale projects that are instrumental in shaping the future of Saudi Arabia. As a Document Controller, you will be responsible for implementing and maintaining robust document control systems that uphold accuracy, compliance, and collaboration across multidisciplinary teams. Key Responsibilities

The Document Controller will play a central role in the successful delivery of projects by overseeing a comprehensive range of document control functions. Your core responsibilities will include:

  • Document Management System Implementation: Develop and maintain a state-of-the-art document control system to efficiently manage project documentation, ensuring alignment with industry best practices and client-specific requirements.
  • Process Development & Enforcement: Establish and enforce rigorous document control procedures, ensuring full compliance with international standards (e.g., ISO 9001) and contractual obligations. Champion continuous improvement initiatives to enhance efficiency and effectiveness.
  • Quality Assurance: Conduct thorough reviews to verify the accuracy, completeness, and currency of all project documents before distribution, mitigating risks associated with outdated or erroneous information.
  • Version Control & Access Management: Maintain meticulous records of document revisions, ensuring stakeholders have access to the most current versions while safeguarding sensitive information through robust access control measures.
  • Stakeholder Coordination: Act as a liaison between project teams, clients, contractors, and regulatory bodies, facilitating clear and timely communication regarding documentation requirements, updates, and compliance matters.
  • Audit Preparation & Compliance: Organize and maintain comprehensive records to support internal and external audits, ensuring adherence to legal, contractual, and regulatory frameworks.
  • Training & Development: Provide expert guidance and training to project personnel on document control processes and systems, fostering a culture of accountability and excellence across the team.
  • Continuous Improvement: Regularly evaluate and refine document control workflows to identify opportunities for optimization, driving greater efficiency and reducing operational bottlenecks.

Qualifications and Experience

To qualify for this role, you will meet the following criteria:

  • A bachelor’s degree in Business Administration, Information Management, or a related field.
  • A minimum of 4–6 years of hands-on experience in document control, with a strong background in the construction, engineering, or real estate sectors, particularly in large-scale projects.
  • Demonstrated experience in Project Management Consultancy (PMC) environments is highly desirable, reflecting your ability to navigate complex project documentation requirements.
  • Familiarity with international document control standards, such as ISO 9001, and a commitment to upholding these standards in all aspects of the role.
  • Certification in document control management (e.g., EDMS certification) is a valuable asset that will set you apart in this competitive field.
  • In-depth knowledge of local and international legal and contractual documentation requirements, ensuring full compliance with regulatory frameworks.
  • Fluency in English is essential; proficiency in Arabic is advantageous and will enhance your ability to engage with local stakeholders.
