Role Overview
The Documents Controller at L&T Hydrocarbon Engineering Limited is a critical full-time, on-site position based in Saudi Arabia. This role is responsible for the meticulous management, organization, and maintenance of project documentation and records, ensuring alignment with company standards and client-specific requirements. The Documents Controller will oversee the creation and updating of document registers, track revisions, coordinate approvals, and facilitate the timely distribution of technical documents, drawings, and correspondence to all relevant stakeholders. Collaboration with project teams, engineering, construction, and quality departments is essential to streamline document workflows, support audits, and ensure compliance with project documentation protocols. Additional duties include enforcing document control procedures, managing both electronic and physical archives, and generating detailed reports and status updates on documentation activities.
Key Responsibilities
- Document Management: Maintain and update document registers, ensuring all project-related documents are accurately recorded, version-controlled, and easily retrievable.
- Revision and Approval Tracking: Monitor document revisions, coordinate approvals from relevant stakeholders, and ensure compliance with company and client documentation standards.
- Document Distribution: Facilitate the timely distribution of technical documents, drawings, and correspondence to internal teams, external partners, and clients, ensuring all parties have access to the most current information.
- Workflow Coordination: Work closely with engineering, construction, and quality departments to support seamless document workflows, reduce bottlenecks, and enhance operational efficiency.
- Audit and Compliance Support: Prepare for and support internal and external audits by ensuring all documentation is complete, accurate, and readily available for review.
- Archive Management: Oversee the organization and maintenance of both electronic and physical document archives, ensuring secure storage and efficient retrieval as needed.
- Reporting and Documentation Status Updates: Generate and distribute regular reports on documentation activities, highlighting key milestones, pending approvals, and potential risks to project timelines.
- Procedure Enforcement: Implement and enforce document control procedures in accordance with industry best practices and project-specific requirements.
Qualifications and Skills
To excel in this role, candidates must possess a combination of technical expertise, organizational acumen, and strong communication skills. The ideal candidate will have:
- Document Management Expertise: Proven experience in document and records management, including the efficient organization, storage, and retrieval of project-related information.
- Technical Documentation Proficiency: Hands-on experience in preparing, reviewing, and maintaining technical and administrative documents in compliance with industry standards and project requirements.
- Effective Communication: Exceptional verbal and written communication skills to liaise with internal teams, external partners, and clients, clarifying document requirements and providing timely updates.
- Technical Proficiency: Familiarity with document control systems, Electronic Document Management Systems (EDMS), Document Management Systems (DMS), and standard office software such as Microsoft Office and PDF tools.
- Industry Knowledge: A solid understanding of document control procedures within engineering, construction, or hydrocarbon projects, including revision control, version tracking, and compliance with regulatory standards.
- Attention to Detail: A meticulous approach to work, with strong organizational skills to manage high volumes of documents efficiently under tight deadlines.
- Educational Background: A relevant diploma or bachelor’s degree in engineering, business administration, information management, or a related field.
- Relevant Experience: Prior experience as a Document Controller or in a similar role within Engineering, Procurement, and Construction (EPC) environments is highly desirable.
