Your Role as an Operation Coordinator – BLS

As an Operation Coordinator in the Building Life Safety (BLS) department, you will play a pivotal role in ensuring seamless project execution, effective communication, and meticulous documentation. Your responsibilities will span across coordinating projects, managing client interactions, and supporting cross-functional teams to deliver exceptional results. This position is ideal for a detail-oriented professional with strong organizational skills and a passion for operational excellence in the real estate and building technology sector.

Key Responsibilities

• Project Coordination: Assign and monitor projects to inspectors, ensuring timely completion and adherence to quality standards. Follow up on report submissions and upload them to the Tawuniya portal to maintain compliance and transparency.
• Cross-Functional Support: Collaborate closely with inspectors, Quality Control/Quality Assurance (QC/QA), design teams, and accounting teams to streamline operations and resolve operational challenges efficiently.
• Client & Stakeholder Management: Handle client appointments, address inquiries, and guide clients to the appropriate teams in accordance with TÜV SÜD’s protocols. Manage client complaints professionally and escalate issues as necessary to ensure resolution.
• Documentation & Reporting: Prepare and issue quotations for non-destructive tests, destructive tests, and design restudies. Maintain accurate records of all technical documents, reports, letters, and warranties, ensuring proper archiving and accessibility.
• Portal & System Management: Upload new projects to the Building Life Safety (BLS) and Integrated Management System (IMS) platforms, ensuring data integrity and timely updates.
• Meeting Coordination: Organize and facilitate meetings across all sub-departments within BLS. Record detailed minutes, circulate actionable work instructions, and track follow-up actions to drive accountability and efficiency.
• Weekly Reporting: Compile and submit weekly reports to the operations supervisor, providing insights into project progress, operational challenges, and key performance indicators.

Your Qualifications & Skills

• Education: Bachelor’s degree or diploma in a relevant field such as engineering, business administration, or a related discipline.
• Experience: 1 to 3 years of professional experience in operations, coordination, or a related role, preferably within the real estate, construction, or building technology sector.
• Technical Proficiency: Strong working knowledge of Microsoft Office Suite, with the ability to prepare detailed technical reports and documentation.
• Soft Skills: Exceptional communication, interpersonal, and coordination skills, with the ability to collaborate effectively across multidisciplinary teams. Attention to detail and problem-solving abilities are essential.
