Role Summary

The Senior Executive Assistant to the CEO serves as a critical strategic partner, providing high-level executive, business, governance, and stakeholder support to the Chief Executive Officer. This role is instrumental in ensuring that the CEO’s priorities, key decisions, and management actions are executed with precision, professionalism, and the utmost confidentiality. The position demands a proactive, business-minded professional who can seamlessly coordinate complex activities, manage critical communications, and facilitate seamless interactions with stakeholders, including senior management, Board members, shareholders, VVIP visitors, and external partners.

Unlike traditional administrative roles, this position requires a strategic mindset capable of developing structured action trackers, executive dashboards, and management reports that enhance accountability, execution, and decision-making across the organization. The ideal candidate will possess exceptional organizational skills, a keen eye for detail, and the ability to anticipate the CEO’s needs while maintaining the highest standards of discretion and efficiency.

Key Responsibilities

1. Executive Support

  • Deliver high-caliber, senior-level support to the CEO, encompassing daily priorities, strategic initiatives, governance obligations, stakeholder engagements, and executive commitments.
  • Act as the central coordination hub for CEO-directed actions, ensuring all matters are meticulously organized, documented, tracked, followed up, and resolved in a timely and professional manner.
  • Proactively anticipate the CEO’s requirements by preparing relevant information, briefs, and follow-up actions, while maintaining ownership, speed, accuracy, and confidentiality in all CEO Office activities.

2. Action Tracking, Follow-Up, and Executive Coordination

  • Develop and maintain professional action trackers for CEO priorities, management meetings, Board and Executive Committee action items, shareholder requests, strategic initiatives, and key operational matters. Trackers must include owners, due dates, dependencies, risks, progress updates, and overdue items.
  • Follow up with Company Management, function heads, and relevant employees to ensure timely completion of assigned actions, while supporting the CEO in fostering accountability across functions without overstepping managerial authority.
  • Prepare regular action status updates, dashboards, and executive summaries for CEO review, escalating critical delays, risks, or unresolved issues in a structured, professional, and timely manner aligned with the CEO’s directives.

3. Dashboards, Reports, and Executive Analysis

  • Design and maintain management dashboards, progress reports, and executive trackers using tools such as Excel, PowerPoint, and other relevant software to monitor key business priorities, project progress, operational readiness, strategic initiatives, KPIs, risks, dependencies, and management actions.
  • Consolidate inputs from various functions into clear, accurate, and executive-ready reports, while identifying gaps, inconsistencies, missing updates, or items requiring clarification.
  • Prepare concise summaries, decision notes, briefing papers, and executive highlights for CEO review, continuously enhancing the quality, structure, and visual presentation of executive reporting.

4. Board, Executive Committee, and Governance Support

  • Assist the CEO in preparing for Board of Managers meetings, Executive Committee meetings, shareholder meetings, and other governance forums by coordinating agendas, materials, and follow-up actions.
  • Ensure all governance-related documentation is accurate, complete, and delivered in a timely manner, while maintaining strict confidentiality and adherence to regulatory requirements.

Qualifications and Skills

Candidates for this role must demonstrate exceptional proficiency in Microsoft Office Suite, particularly Excel, PowerPoint, and Word, along with strong analytical and organizational skills. The ideal candidate will possess:

  • Minimum of 7-10 years of experience in an executive support role, preferably within a corporate or industrial environment.
  • Proven ability to manage complex schedules, prioritize tasks, and work under pressure with minimal supervision.
  • Outstanding written and verbal communication skills, with a focus on clarity, conciseness, and professionalism.
  • Strong interpersonal skills, enabling effective collaboration with senior executives, Board members, and external stakeholders.
  • Discretion, integrity, and the ability to handle sensitive information with the highest level of confidentiality.
  • Experience in developing executive-level reports, dashboards, and presentations that drive informed decision-making.
