Role Overview

The Personnel Officer plays a pivotal role in supporting Almarai’s HR administration function by performing a wide array of personnel and administrative tasks. This position is instrumental in processing and maintaining accurate personnel-related documents, ensuring the timely and precise disbursement of employee compensation in full compliance with established policies and procedures. The Personnel Officer will serve as a critical link between employees and the HR department, facilitating seamless communication and operational efficiency.

Key Responsibilities

  • Document Management: Prepare, process, and maintain a variety of personnel-related documents, including employment contracts, attendance records, leave applications, and personnel files, ensuring accuracy, confidentiality, and compliance with company policies and labor regulations.
  • Payroll Support: Assist in the verification and validation of employee data to ensure accuracy in payroll processing, including salary adjustments, bonuses, deductions, and other compensation-related transactions.
  • Employee Records: Maintain and update employee records in the HR information system, ensuring that all data is current, complete, and readily accessible for reporting and auditing purposes.
  • Administrative Coordination: Liaise with various departments to gather and verify employee information, resolve discrepancies, and facilitate smooth HR operations. Coordinate with payroll and finance teams to ensure seamless processing of employee payments.
  • Compliance and Reporting: Assist in the preparation of HR reports, statistics, and presentations as required. Ensure adherence to local labor laws, company policies, and regulatory requirements in all personnel-related activities.
  • Employee Support: Provide administrative support to employees regarding HR policies, procedures, and inquiries. Act as a point of contact for employees seeking clarification on compensation, benefits, or HR-related matters.
  • System Maintenance: Utilize HR software and databases to input, update, and retrieve employee information efficiently. Ensure the integrity and security of HR data in compliance with data protection standards.

Qualifications and Skills

To excel in this role, candidates must meet the following requirements:

  • Education: Bachelor’s degree in a related business discipline, such as Business Administration, Human Resources Management, or a closely aligned field.
  • Experience: 0 to 3 years of relevant experience in personnel administration, HR operations, or a similar administrative role within a corporate environment.
  • Technical Proficiency: Strong computer skills with demonstrated expertise in using a variety of word processing, spreadsheet, and database applications. Proficiency in Microsoft Office Suite, particularly Excel, Word, and PowerPoint, is essential for data management, reporting, and presentation tasks.
  • Analytical Abilities: Ability to analyze data, identify trends, and generate accurate reports to support HR decision-making and compliance efforts.
  • Communication Skills: Excellent written and verbal communication skills to interact effectively with employees, HR teams, and other stakeholders. Strong interpersonal skills to build rapport and foster a collaborative work environment.
  • Attention to Detail: Meticulous attention to detail to ensure accuracy in document processing, data entry, and compliance with HR policies and procedures.
