Position Overview
We are seeking a highly organized and detail-oriented Facility Officer to oversee and manage the daily operations of labor transportation services, asset tracking, and facility-related financial and administrative tasks. The ideal candidate will ensure seamless coordination between departments, maintain accurate records, and uphold operational efficiency through the use of advanced digital tools and dashboards. This role demands a proactive approach to monitoring, reporting, and compliance, with a strong focus on asset management, procurement, and risk mitigation.
Key Responsibilities
- Transportation Management: Oversee the daily operations of labor buses, ensuring timely and safe transportation for all employees. Monitor schedules, routes, and compliance with safety regulations.
- Financial Oversight: Manage and monitor monthly bus invoices to ensure accuracy and timely payments. Verify expense reports and reconcile discrepancies as needed.
- Asset and Inventory Management: Utilize CRM applications and Qlik Sense to track furniture, fixtures, and other assets. Maintain accurate stock records and ensure timely replenishment when necessary.
- Procurement and Purchasing: Issue purchase orders for housing-related requirements via the AX application and Qlik Sense dashboard. Ensure all orders are processed efficiently and align with budgetary constraints.
- Housing and Maintenance Coordination: Maintain an up-to-date housing dashboard and follow up with housing team leaders to track the status of maintenance orders. Ensure timely resolution of issues to support employee well-being.
- Utility Management: Monitor and manage direct electrical and water bills in collaboration with the Saudi Electricity Company (SCECO) and the National Water Company. Verify billing accuracy and resolve any discrepancies promptly.
- Risk and Compliance: Assist the facilities team in maintaining a risk register, logging necessary actions, and ensuring compliance with safety and regulatory standards. Support projects by facilitating the issuance and tracking of insurance policies, including CAR and EAR.
- Work Order Tracking: Maintain traceability of assets, furniture, fixtures, and other items. Follow up with facilities team leaders to monitor the status of issued work orders and ensure timely completion.
- Dashboard Maintenance: Manage and maintain the Computerized Maintenance Management System (CMMS) dashboard to provide real-time insights into facility operations, asset performance, and maintenance activities.
Qualifications and Skills
To excel in this role, candidates should possess a bachelor’s degree in facility management, business administration, or a related field. A minimum of three years of experience in facility operations, asset management, or a similar role is required. Proficiency in CRM applications, Qlik Sense, and the AX procurement system is essential. Strong analytical skills, attention to detail, and the ability to manage multiple tasks efficiently are critical. Excellent communication and interpersonal skills are necessary to collaborate effectively with cross-functional teams and stakeholders. Familiarity with risk management principles and insurance processes is a plus.

The Facility Officer will operate in a dynamic corporate environment, working closely with transportation providers, housing teams, procurement departments, and external utility companies. The role requires a blend of desk-based work and on-site visits to facilities to ensure operational excellence.
