Role Overview

As a Contract Specialist based in RAK, you will play a pivotal role in ensuring the smooth administration and execution of post-award contracts. Your responsibilities will encompass a wide range of contract management activities, from initial kick-off coordination to final close-out documentation. This role requires meticulous attention to detail, strong organizational skills, and the ability to collaborate effectively with cross-functional teams to uphold contractual obligations and mitigate risks.

Key Responsibilities

  • Contract Kick-off and Administration: Facilitate post-award contract kick-off meetings by preparing agendas, coordinating attendees, documenting meeting minutes, and tracking contractual actions to ensure alignment with project objectives.
  • Document Control and Compliance: Assist in the preparation, control, distribution, and filing of conformed Contract Documents, including the Notice of Award. Maintain comprehensive contract records and registers to track schedules, contractor deliverables, baseline programmes, and critical contractual deadlines. Support compliance reviews of Project Execution Plans and sub-plans to ensure adherence to contractual terms.
  • Subcontractor and Technical Oversight: Coordinate subcontractor approval submissions, compile supporting documentation, and track Employer approvals prior to subcontractor engagement. Maintain Technical Query (TQ) registers, log contractor queries, coordinate responses, and ensure controlled issuance of information to prevent unintended variations.
  • Progress and Performance Monitoring: Collect, consolidate, and track contractor progress reports and performance data. Support monitoring and reporting obligations under the contract, ensuring timely and accurate submissions. Collaborate with Quality Assurance (QA) and Expediting functions to manage quality documentation, including Inspection and Test Plans (ITPs), inspection records, and expediting status.
  • Claims and Variations Management: Support the review and processing of contractor progress claims, verifying completeness and contractual compliance before submission for approval and payment. Maintain claims and variation registers, compile backup documentation, and assist the Contract Manager in assessing, negotiating, and formalizing claims and variations.
  • Site and Construction Support: Assist with construction-phase contract administration, including site meetings, tracking of site instructions, dayworks, site extras, and follow-up actions. Support the administration of insurance and incident claims, including documentation, cost tracking, and coordination with insurers as directed.
  • Project Close-out: Contribute to interim completion, mechanical completion, turnover, and defects liability administration. Prepare final release and close-out documentation, and maintain lessons learned records throughout the contract lifecycle to support continuous improvement and reporting.

Qualifications and Skills

  • A degree in Business, Engineering, Quantity Surveying, Law, or a related discipline, or equivalent professional experience.
  • Proven experience in EPCM or large capital project contract administration, with a strong understanding of contractual frameworks and project delivery methodologies.
  • Exceptional written communication skills, with a keen eye for detail and accuracy.
  • Proficiency in Microsoft Office Suite, particularly Word, Excel, and PowerPoint, to create, manage, and present contract-related documentation.
