About This Role
We are seeking a highly organised and proactive Administration Officer to join our dynamic team within the Victorian Public Service (VPS). This full-time, ongoing position offers a rewarding opportunity to contribute to the operational efficiency of Community Operations while working alongside a high-performing and dedicated team. The role is classified at VPS Grade VPS2, with a salary range of $62,104 to $79,753 per annum, plus superannuation.
About The Business Unit
The Administration Officer will be part of the Reintegration and Engagement Services Division, a critical component of Corrections Victoria. This Division is responsible for implementing evidence-based, best practice interventions aimed at reducing reoffending and enhancing community safety. Key responsibilities include managing quality assurance systems for risk assessment and case management, delivering clinical intervention programs, and providing transition and reintegration supports. Additionally, the Division oversees Victoria's post-sentence scheme, a civil, non-punitive initiative designed to supervise or detain serious sex and/or violent offenders who pose an unacceptable risk of reoffending after completing their sentences.
About The Role
The Administration Officer will play a pivotal role in ensuring the smooth operation of administrative functions at Rivergum. This position involves a diverse range of responsibilities, including managing reception services by handling both in-person and telephone inquiries, processing incoming and outgoing mail, and preparing basic correspondence. The role also encompasses providing comprehensive HR and finance administration support, including payroll processing, as well as managing fleet and general administrative duties. The successful candidate will collaborate closely with the Management team to ensure operational excellence and support the broader staff group with guidance and administrative assistance.
Key Responsibilities
- Provide high-level administrative support to the Management team and general staff group.
- Process accounts payable and payroll transactions with accuracy and efficiency.
- Manage vehicle fleet administration, including record-keeping and coordination.
- Handle reception duties, including responding to inquiries and managing mail and correspondence.
- Ensure compliance with departmental policies and procedures in all administrative tasks.
About You
To excel in this role, you will bring a strong foundation in administrative practices and a commitment to delivering exceptional service. The ideal candidate will possess the following skills and experience:
- Demonstrated proficiency in the Microsoft Office Suite, particularly Outlook, Word, and Excel.
- Experience with Oracle Procurement and Accounts Payable systems.
- Strong organisational skills and the ability to manage multiple tasks efficiently.
- Excellent communication and interpersonal skills to interact effectively with staff and external stakeholders.
- Proficiency in electronic information and filing systems, ensuring data accuracy and accessibility.
