Position Overview
We are seeking a highly organized and professional Receptionist to join our dynamic team. The ideal candidate will serve as the first point of contact for visitors, clients, and employees, ensuring a welcoming and efficient reception experience. Key Responsibilities

- Telephone and Communication Support: Answer, screen, and forward incoming calls while providing accurate information or directing inquiries to the appropriate personnel. - Administrative and Clerical Duties: Receive, sort, and distribute daily mail, deliveries, and courier packages. Perform essential clerical tasks, including filing, photocopying, collating, and faxing documents. Assist with various administrative requests, such as gate pass applications, salary certificate issuance, and NOC (No Objection Certificate) requests.
- Security and Access Control: Maintain office security by adhering to established procedures, monitoring the visitor logbook, and issuing visitor badges. Ensure that all access controls are followed to safeguard personnel and property.
- Appointment Scheduling and Calendar Management: Update and maintain appointment calendars, schedule meetings, and coordinate room bookings. Ensure that all scheduling activities are managed efficiently to avoid conflicts and optimize office productivity.
- Record Management and Confidentiality: Assist in processing OHC (Occupational Health and Safety) requests for designated staff members and maintain accurate records of these requests. Handle sensitive information with the utmost discretion and professionalism, ensuring confidentiality is upheld at all times.
- Office Organization and Supplies: Keep the reception area tidy, welcoming, and well-organized. Monitor and restock office supplies as needed to ensure smooth daily operations. Maintain a clean and professional environment that reflects the company’s standards.
- Technology and Equipment Operation: Utilize office software, such as Microsoft Office Suite, and operate essential equipment, including printers, switchboards, and other office machinery. Stay proficient in digital tools to support efficient workflow and communication.
Qualifications and Skills
To excel in this role, the ideal candidate will possess the following qualifications and attributes:
- Experience: A minimum of 1-3 years of experience in a receptionist or administrative role, preferably within a professional office environment. Prior experience in customer service or hospitality is a valuable asset.
- Technical Proficiency: Strong working knowledge of Microsoft Office Suite (Word, Excel, Outlook) and familiarity with office equipment. Experience with appointment scheduling software or visitor management systems is a plus.
