Key Responsibilities

The Sales & Order Processing Coordinator will play a pivotal role in maintaining the efficiency and accuracy of our order-to-cash process. Your core responsibilities will include:

• Order Management: Receive, review, and process customer Purchase Orders (POs) with precision, ensuring all details are accurately captured and documented.
• Documentation & Reporting: Prepare and issue essential business documents, including quotations, Sales Orders, Purchase Orders, Delivery Notes, and Invoices, while maintaining a comprehensive and organized record of all transactions.
• Cross-Functional Coordination: Act as a liaison between customers, suppliers, warehouse teams, and delivery personnel to facilitate smooth order execution, resolve discrepancies, and ensure timely deliveries in alignment with customer requirements.
• Order Tracking & Follow-Up: Monitor the progress of each order, proactively follow up on pending materials and shipments, and address any delays or issues to minimize disruptions to the supply chain.
• Compliance & Documentation: Ensure that every order is fully documented from receipt of the PO to final delivery and invoicing, adhering to company policies and industry standards.
• Data Analysis & Reporting: Generate daily, weekly, and monthly reports using Microsoft Excel, including advanced functions such as formulas, Pivot Tables, and VLOOKUP/XLOOKUP, to provide actionable insights for management and support strategic decision-making.
• Operational Support: Assist management with data analysis, operational planning, and process improvements to enhance overall efficiency and customer satisfaction.

Requirements & Qualifications

To excel in this role, candidates must meet the following mandatory criteria:

• Industry Experience: A minimum of three years of relevant experience in the building materials, construction materials, or finishing materials industry is required. Candidates without this background will not be considered.
• Product Knowledge: Familiarity with products such as gypsum board, drywall systems, ceiling systems, metal framing, insulation, and other construction and finishing materials is highly advantageous.
• Technical Proficiency: Strong command of Microsoft Excel, including advanced functions like formulas, Pivot Tables, and VLOOKUP/XLOOKUP, is essential for data management and reporting.
• Professional Experience: Prior experience in Sales Coordination, Order Processing, Procurement, Logistics Coordination, or a similar operational role is preferred. Experience with an ERP system is a plus.
• Soft Skills: Exceptional organizational abilities, keen attention to detail, and the capacity to manage multiple orders and priorities simultaneously are critical. Strong written and spoken English proficiency is required, along with analytical and problem-solving skills.
• Availability: Candidates who can join immediately or within a short notice period will be given priority consideration.
