Position Overview

The Outpatient Manager plays a pivotal role in ensuring the seamless operation of the Outpatient Department (OPD) by overseeing daily clinical activities, optimizing patient flow, and maintaining high standards of care delivery. Reporting directly to the Chief Operating Officer (COO), this position is responsible for driving operational excellence, enhancing patient satisfaction, and ensuring strict adherence to hospital policies and regulatory guidelines. The ideal candidate will possess a strong background in healthcare administration, a proven track record in outpatient services, and the leadership skills necessary to manage a dynamic and high-volume clinical environment.

Core Responsibilities

The Outpatient Manager is tasked with the following key responsibilities to foster an efficient, patient-centered, and compliant outpatient care environment:

  • Operational Leadership: Oversee the day-to-day operations of the Outpatient Department, ensuring that all clinical services are delivered efficiently, safely, and in accordance with established protocols. This includes managing patient flow, appointment scheduling, and resource allocation to minimize wait times and maximize operational efficiency.
  • Performance Monitoring and Improvement: Track and analyze critical performance metrics such as patient volumes, appointment utilization rates, waiting times, and other key performance indicators (KPIs). Utilize data-driven insights to identify trends, address bottlenecks, and implement targeted improvements to enhance service quality and operational productivity.
  • Staff Supervision and Development: Lead, mentor, and supervise a diverse team of administrative and operational staff, including nurses, medical assistants, front desk personnel, and support staff. Foster a culture of accountability, collaboration, and continuous professional development to ensure a high-performing and motivated workforce.
  • Resource Management: Optimize the allocation and utilization of departmental resources, including staffing, equipment, and supplies, to meet patient care demands while maintaining cost-effectiveness. Collaborate with cross-functional teams to align resources with strategic priorities and operational goals.
  • Compliance and Quality Assurance: Ensure full compliance with all hospital policies, regulatory requirements, and accreditation standards. Implement and maintain quality assurance programs to monitor and enhance patient safety, infection control, and clinical outcomes. Address any deficiencies promptly and proactively to mitigate risks.
  • Patient Experience Enhancement: Champion initiatives aimed at improving patient satisfaction and engagement. Actively seek feedback, address concerns, and implement best practices to create a welcoming, efficient, and patient-centered outpatient experience.

Qualifications and Requirements

To qualify for this role, candidates must meet the following educational and professional criteria:

  • Education: A Bachelor’s degree in Healthcare Administration, Hospital Administration, Business Administration, or a closely related field is required. Advanced degrees or certifications in healthcare management are highly desirable.
  • Experience: A minimum of five years of progressive experience in outpatient services, healthcare operations, or hospital administration is essential. Prior supervisory or managerial experience within a clinical or outpatient setting is mandatory to effectively lead the team and drive operational excellence.
