Key Responsibilities

The Sales Coordinator will be responsible for a diverse range of tasks designed to optimize sales processes and enhance customer engagement. Your core duties will include:

• Pre-Sales Support:
  • Responding promptly and professionally to customer inquiries, providing accurate information, and addressing concerns to foster trust and long-term relationships.
  • Coordinating and facilitating virtual meetings with customers, ensuring clear communication and alignment on sales objectives.
• Operational Customer Relationship Management:
  • Receiving and validating customer orders, verifying sales details, and ensuring compliance with company policies and Incoterms.
  • Utilizing SAP to code ordered items and update the Customer Master Data (CMD) to maintain accurate records.
  • Monitoring invoices, deliveries, and customer accounts to ensure timely payments and adherence to contractual agreements.
  • Conducting follow-ups on overdue payments, generating reminders, and preparing detailed reports for management review.
  • Managing logistics-related activities, including monitoring deadlines, facilitating communication, and ensuring smooth coordination with customers.
  • Tracking and ensuring the completion of customer documentation, including invoices, proformas, bills of lading, and certificates.
• After-Sales Service:
  • Addressing and resolving customer complaints in a timely and professional manner, ensuring issues are escalated appropriately when necessary.
  • Communicating delivery discrepancies to customers and transporters, coordinating corrective actions, and updating stakeholders on resolution progress.
• Internal Collaboration:
  • Acting as a liaison between the sales team and the order preparation unit within the production department, providing updates on order statuses and ensuring alignment with production schedules.
  • Monitoring stock levels and coordinating with the warehouse to prevent shortages or delays in order fulfillment.
  • Overseeing design production and approvals in collaboration with the Plate Room to ensure timely delivery of customized products.
  • Generating and distributing reports and summary statements from SAP to support data-driven decision-making.
• IT and Data Management:
  • Entering and maintaining accurate commercial data within the information system, including customer information, stock levels, payment records, and supporting documentation.

Qualifications and Skills

To excel in this role, candidates must meet the following criteria:

• Education: A Bachelor's degree in Business Administration, Marketing, or a related field.
• Experience: A minimum of 3 years of relevant experience in a sales support or coordination role, with a proven track record of driving operational efficiency.
• Technical Proficiency: Strong working knowledge of sales processes, techniques, and tools, including familiarity with SAP or similar ERP systems.
• Soft Skills:
  • Exceptional verbal and written communication skills, with the ability to articulate complex information clearly and concisely.
