Key Responsibilities

The Legal Intake Specialist will be responsible for managing inbound client inquiries with the utmost professionalism, ensuring a seamless transition from initial contact to scheduled consultations. Your core duties will include:

• Client Engagement: Handle inbound calls from potential clients with active listening, empathy, and a solution-oriented mindset to create a positive first impression and build trust.
• Lead Qualification: Assess client needs, gather essential information, and determine the suitability of cases for available legal services, ensuring alignment with firm objectives.
• Appointment Scheduling: Coordinate consultation appointments efficiently, working toward weekly booking goals and supporting conversion targets to maximize business opportunities.
• Documentation & CRM Management: Maintain accurate and up-to-date records within legal CRM systems, ensuring all intake documentation is complete, organized, and compliant with confidentiality standards.
• Follow-Up & Engagement: Proactively follow up with potential clients to address pre-consultation inquiries, maintain engagement, and confirm appointments, fostering long-term relationships.
• Confidentiality & Professionalism: Handle sensitive client information with discretion, adhering to strict confidentiality protocols and maintaining the highest standards of professionalism.
• Performance Optimization: Participate in regular call reviews and coaching sessions to refine communication techniques, enhance intake quality, and drive continuous improvement in conversion performance.
• Team Collaboration: Work closely with internal teams to ensure qualified opportunities are transferred smoothly, contributing to a cohesive and efficient operational workflow.

Qualifications & Requirements

To excel in this role, you will bring a blend of legal intake experience, client service expertise, and a results-driven mindset. The ideal candidate will possess:

• Experience: 3-5 years in legal intake, legal administration, client services, or a comparable law firm-facing role, with a proven track record of managing client relationships effectively.
• Technical Proficiency: Familiarity with legal CRM platforms such as Lawmatics or similar intake management tools to streamline documentation and client tracking.
• Communication Skills: Exceptional spoken English proficiency, with the ability to engage clients confidently, guide conversations, and build rapport in emotionally sensitive situations.
• Empathy & Professionalism: A strong capacity to handle delicate client interactions with patience, empathy, and unwavering professionalism.
• Attention to Detail: Meticulous approach to documentation and record-keeping, ensuring accuracy and compliance in all client-related processes.
• Independence & Motivation: Self-driven and reliable, with the ability to work autonomously in a remote environment while meeting performance targets.
• Location Requirement: Currently based in Europe or Latin America to align with operational and time zone considerations.
