Position Overview

We are seeking a highly organized and detail-oriented Contracts Engineer to join our dynamic team. In this pivotal role, you will serve as the backbone of our contract administration processes, ensuring seamless financial and operational alignment across Commercial, Finance, and Procurement departments. Your responsibilities will encompass a broad spectrum of tasks, including invoice management, timesheet reconciliation, purchase order administration, and contract tracking, all while maintaining rigorous compliance with contractual obligations and budgetary controls. This position is ideal for a proactive professional with a passion for precision and a commitment to driving efficiency in contract lifecycle management.

Key Responsibilities

  • Contract Administration Support: Provide comprehensive administrative assistance to Contract Managers, with a primary focus on Professional Services Contracts. Ensure all contractual documentation is accurately maintained, updated, and readily accessible for review.
  • Invoice and Financial Reconciliation: Review, validate, and process invoices submitted by consultants and Project Management Consultants (PMC). Conduct thorough reconciliations with PMC timesheets, attendance records, and contractually agreed rates to ensure accuracy and compliance. Collaborate closely with Finance and Procurement teams to facilitate timely invoice approvals and payments.
  • Purchase Order Management: Coordinate the preparation, issuance, and amendment of Purchase Requisitions (PRs) and Purchase Orders (POs). Ensure alignment with contractual terms and organizational procurement policies while supporting the procurement lifecycle.
  • Contract Tracking and Reporting: Maintain and update contract registers, trackers, and reports to monitor contract values, expenditures, and key milestones. Provide actionable insights through regular reporting to support budget monitoring and financial forecasting.
  • Change Management and Compliance: Assist in the management of contract variations, amendments, and change requests, ensuring all modifications are documented, approved, and implemented in accordance with governance requirements. Maintain meticulous records of commercial correspondence and contract-related communications.
  • Cross-Functional Collaboration: Act as a liaison between Commercial, Finance, and Procurement teams to streamline contract administration processes. Contribute to continuous improvement initiatives aimed at enhancing efficiency, reducing administrative bottlenecks, and strengthening commercial governance.
  • Financial Oversight: Support monthly financial reconciliation and reporting activities, including budget monitoring and variance analysis. Ensure all contract-related financial activities adhere to organizational policies and regulatory standards.

Qualifications and Skills

To excel in this role, you must possess a blend of technical expertise, analytical acumen, and exceptional communication skills. The ideal candidate will have:

  • Professional Experience: A minimum of seven years of hands-on experience in contract administration, commercial support, or a closely related field, with a proven track record in infrastructure or construction projects involving Professional Services Contracts.
  • Educational Background: A Bachelor’s Degree in Business Administration, Commercial Management, or a discipline directly relevant to contract and commercial operations.
  • Technical Proficiency: Demonstrated experience with Enterprise Resource Planning (ERP) systems, such as SAP or Oracle, and a strong aptitude for leveraging technology to optimize contract management processes.
  • Analytical and Detail-Oriented: Exceptional analytical skills with a keen eye for detail, enabling you to identify discrepancies, validate financial data, and ensure compliance with contractual terms.
  • Stakeholder Management: Outstanding communication and interpersonal abilities, allowing you to effectively collaborate with cross-functional teams, vendors, and internal stakeholders at all levels.
  • Commercial Governance: A solid understanding of commercial governance frameworks, regulatory compliance, and best practices in contract administration, with the ability to apply this knowledge in a fast-paced environment.
  • Organizational Agility: Proven ability to manage multiple contracts, priorities, and deadlines simultaneously while maintaining a high standard of accuracy and professionalism.
