Position Overview
As a critical operational role within our warehouse and logistics ecosystem, the Dispatcher is entrusted with overseeing all internal activities to ensure seamless workflow, optimal productivity, and adherence to stringent quality and safety standards. This position serves as the linchpin between inventory management, order preparation, and invoicing, requiring meticulous attention to detail, proactive problem-solving, and exceptional coordination skills. The Dispatcher plays a pivotal role in maintaining the smooth flow of goods while ensuring compliance with PepsiCo’s Global Environmental, Health, Safety, and Quality Management Systems (GEHSMS & QFS).
Key Responsibilities
- Shift Handover and Workflow Management: Assume responsibility for the incoming shift by thoroughly reviewing pending tasks, priorities, and operational status from the previous shift. Ensure a seamless transition by documenting all outstanding work, special instructions, and critical updates to maintain continuity in operations.
- Inventory and Stock Control: Oversee the accurate receipt, storage, and dispatch of goods by meticulously following Warehouse Management System (WMS) protocols. Monitor stock levels, identify discrepancies such as incorrect labeling, missing items, excess cases, or empty pallets, and report these irregularities to the Storekeeper to prevent operational disruptions. Conduct daily physical counts of goods to facilitate inventory reconciliation and promptly escalate any variances to management.
- Order Preparation and Dispatch Coordination: Adjust delivery sequences in the Dispatch Planning System as needed to optimize order fulfillment. Allocate tasks to laborers (helpers) based on workload, skill sets, and operational priorities to maximize productivity and efficiency. Work closely with the Storekeeper to ensure stock allocation aligns with order preparation timelines, thereby facilitating timely invoicing and customer satisfaction.
- Hygiene and Safety Compliance: Enforce strict adherence to hygiene protocols by following a comprehensive checklist to maintain a clean, safe, and compliant warehouse environment. Collaborate with forklift operators to reorganize storage areas and facilitate the First-In-First-Out (FIFO) procedure, ensuring product freshness and minimizing waste.
- Equipment Maintenance and Operational Efficiency: Ensure all warehouse equipment is maintained in optimal working condition, used correctly, and serviced periodically. Record maintenance activities to uphold operational reliability and safety standards. Additionally, support operations during the absence of PIT Operators by leveraging a PIT License, if applicable, to maintain workflow continuity.
- Shift Handover and Reporting: Conclude the shift by providing a detailed handover to the next shift, including pending tasks, special instructions, and any operational concerns. Maintain clear and concise communication to ensure the next team is fully informed and prepared to continue operations without disruption.
- Continuous Improvement and Compliance: Actively participate in and contribute to the ongoing enhancement of Environmental, Health, Safety (EHS), and Quality Food Safety (QFS) standards within the warehouse. Ensure all activities and areas under your responsibility comply with PepsiCo’s GEHSMS, relevant QFS standards, and local legislations. Proactively identify hazards and risks, implement appropriate controls, and work toward achieving EHS targets to foster a culture of safety and excellence.
Qualifications and Skills
To excel in this role, candidates must possess a blend of practical experience, technical proficiency, and soft skills tailored to the demands of a fast-paced, labor-intensive supply chain environment. The ideal candidate will meet the following criteria:
- Professional Experience: Minimum of two years in a supply chain-related role, with a preference for candidates who have held cross-functional positions within the Fast-Moving Consumer Goods (FMCG) sector. Experience in a labor-intensive organization will be considered a valuable asset.
- Educational Background: A high school certificate in any discipline, complemented by a commitment to continuous learning and professional development.
- Core Competencies:
- A self-motivated and proactive approach to identifying, initiating, and implementing corrective actions to resolve operational challenges.
- Exceptional communication skills, both verbal and written, to effectively liaise with laborers, Storekeepers, forklift operators, and management.
- Strong leadership and team management abilities to control and coordinate laborers across multiple functions, ensuring alignment with operational goals.
- Analytical and systematic problem-solving skills, coupled with the flexibility to adapt to dynamic situations and evolving priorities.
- Comprehensive planning skills and a cross-functional understanding of warehouse operations to optimize workflow and resource allocation.
- Technical and Licensing Requirements: Proficiency in using Warehouse Management Systems (WMS) and Dispatch Planning Systems. A PIT License is advantageous for supporting operations during absences, though not mandatory.
