Core Responsibilities
The Administrative Data Entry File Clerk will be responsible for a range of critical tasks designed to streamline document management and enhance operational efficiency. Your duties will include:
- Document Intake & Indexing: Receive, review, and process files from various sources, including shared inboxes, portals, internal ticketing systems, and cloud-based repositories. Verify document types, required fields, signatures, and attachments to ensure completeness and accuracy.
- Metadata Management: Index each record using standardized metadata, including client/project identifiers, dates, document categories, versions, and regional specifications, to facilitate quick retrieval and organization.
- Document Organization & Conversion: Apply consistent naming conventions and folder structures to maintain a well-organized digital library. Perform necessary format conversions, such as merging or splitting PDFs, converting images to PDFs, compressing files, and applying version labels to ensure uniformity.
- Records Governance & Compliance: Uphold strict confidentiality protocols and access controls when handling sensitive information. Adhere to retention schedules, legal hold directives, and archival or deletion policies to ensure compliance with regulatory requirements. Support audit processes by efficiently retrieving records and maintaining detailed documentation of chain-of-custody procedures.
- Quality Assurance: Conduct daily spot checks to identify duplicates, misfiled documents, missing pages, or unreadable scans. Log errors and escalate exceptions to the appropriate stakeholders with clear, actionable notes. Contribute to continuous process improvement initiatives aimed at reducing rework and enhancing data integrity.
- Collaboration & Communication: Serve as a liaison between departments, including HR, Finance, Operations, Legal, and Customer Support, to clarify file requirements and resolve discrepancies. Provide timely updates on backlog status, processing turnaround times, and any issues encountered during document handling.

To execute your responsibilities effectively, you will utilize a suite of industry-standard tools and platforms, including:
- Cloud storage solutions (e.g., Google Drive, SharePoint, Dropbox)
- Document management tools (e.g., Adobe Acrobat or equivalent software)
- Spreadsheet applications for data tracking and reporting
- Ticketing systems (e.g., Jira, Asana, ServiceNow)
- Electronic signature platforms
- Basic office productivity suites
Success Metrics
Your performance will be evaluated based on key performance indicators that reflect the efficiency and accuracy of your work. These may include:
- Accuracy rate, measured by the frequency of misfiles or metadata errors
- Turnaround time from receipt to final filing of documents
- Backlog size and daily processing throughput
- Speed and completeness of audit record retrieval
- Adherence to compliance protocols, including access controls and retention tagging
Qualifications & Skills
To qualify for this role, candidates should possess the following attributes and experience:
- Proven experience in records management, administrative support, clerical work, or document control (highly preferred).

- Proficiency in basic computer operations, including file systems, spreadsheets, PDF manipulation, and collaboration tools.
