Role Overview

As a Control Room Co-worker, you will serve as the primary point of contact for the organization, ensuring seamless communication and administrative excellence across all departments. Your role will encompass a broad range of responsibilities, from managing visitor flow and reception duties to maintaining the safety and security of our facilities. This position requires a high level of professionalism, attention to detail, and the ability to thrive in a fast-paced setting while upholding IKEA’s commitment to quality and integrity.

Key Responsibilities

Your daily tasks will include:

• Visitor and Communication Management: Greet, welcome, and direct visitors with professionalism and courtesy. Answer, screen, and forward incoming calls, providing accurate information and maintaining a courteous tone. Operate the telephone switchboard efficiently, ensuring calls are answered promptly—ideally before the third ring.
• Administrative Support: Maintain and update staff contact lists, including telephone extensions and mobile numbers. Manage appointment calendars, schedule meetings, and coordinate logistics to support smooth operations across the organization.
• Security and Monitoring: Monitor the building’s interior and exterior through the CCTV system, ensuring a secure environment. Provide video records upon request from authorized personnel and report any safety or security hazards or incidents immediately.
• Compliance and Safety: Coordinate with local authorities as needed and enforce health and safety protocols, including temperature checks, mask requirements, and social distancing measures at staff entrances. Ensure only authorized personnel, commercial customers, and staff members gain access to restricted areas.
• Logistics and Clerical Duties: Receive, sort, and distribute daily mail, deliveries, and couriers. Perform essential clerical tasks such as filing, photocopying, collating, and faxing to support departmental needs.

Qualifications and Skills

To excel in this role, you should possess the following qualifications and competencies:

• Education: A diploma or higher degree in Occupational Health and Safety or a related field. Fresh graduates or candidates with up to two years of relevant experience are encouraged to apply.
