In this strategic position, you will serve as the linchpin between technical teams, project stakeholders, and corporate standards, ensuring that every document—from engineering drawings to submittals—is accurate, timely, and fully compliant. Key Responsibilities
Your role will encompass a broad spectrum of responsibilities, demanding both meticulous attention to detail and proactive problem-solving:
- Electronic Document Management System (EDMS) Administration: Oversee and maintain industry-leading platforms such as Aconex, PMWeb, or SharePoint, ensuring seamless data entry, document indexing, and version control to eliminate discrepancies and enhance accessibility.
- Quality Assurance & Compliance: Conduct rigorous reviews of all project documentation—including drawings, specifications, RFIs, and change orders—to uphold Parsons’ global quality standards and client-specific protocols. Verify accuracy, completeness, and correct numbering before distribution.
- Workflow Coordination & Stakeholder Engagement: Manage the end-to-end lifecycle of technical submittals, ensuring timely routing to internal and external stakeholders while tracking overdue actions and escalating bottlenecks proactively.
- Archival & Audit Support: Maintain both electronic and physical archives with impeccable organization, enabling rapid retrieval of project files and preserving comprehensive audit trails for regulatory and compliance purposes.
- Reporting & Analytics: Generate insightful status reports on document review cycles, outstanding submittals, and key performance metrics to inform decision-making for Project Managers and leadership teams.
- Project Handover & Client Delivery: Play a pivotal role in compiling and organizing final as-built documentation, ensuring a smooth transition to clients and meeting contractual close-out requirements.
What We’re Looking For
We are seeking a detail-oriented professional with a proven track record in document control, coupled with a passion for excellence and continuous improvement. Ideal candidates will possess:
- Education: A Bachelor’s Degree or Diploma in Business Administration, Information Management, Computer Science, or a related field. Relevant certifications in document management or project controls are a plus.
- Experience: A minimum of 5 years in document control, with a strong preference for experience within major engineering, construction, or project management consultancies. Familiarity with Parsons’ methodologies or similar high-stakes environments is advantageous.
- Technical Proficiency: Hands-on expertise with EDMS platforms (e.g., Aconex, PMWeb, Bentley ProjectWise, or OpenText) and advanced proficiency in Microsoft Office Suite (Word, Excel, Outlook). Knowledge of project management tools (e.g., Primavera, MS Project) is beneficial.
- Language Skills: Exceptional command of both written and spoken English and Arabic, enabling effective communication across multicultural teams and clients.
