Key Responsibilities
The Procurement Executive will execute a wide range of procurement activities to support the organization’s objectives. Core responsibilities include:
- Supplier Sourcing and Procurement: Identify, evaluate, and source materials, equipment, consumables, and services from approved local and international suppliers to meet operational demands.
- Negotiation and Contracting: Obtain competitive quotations, assess supplier proposals, and negotiate favorable pricing, payment terms, and delivery schedules to secure the best value for the company.
- Purchase Order Management: Prepare, process, and manage purchase orders, procurement documentation, and supplier contracts in strict accordance with company policies and procedures.
- Cross-Functional Collaboration: Work closely with internal departments, including warehouse, operations, and finance, to understand procurement requirements and ensure timely fulfillment of purchase requests.
- Inventory and Stock Optimization: Monitor inventory levels in coordination with warehouse and operations teams to maintain optimal stock levels and prevent shortages or excesses.
- Supplier Relationship Management: Develop and nurture strong, long-term relationships with suppliers to guarantee reliable supply, high service quality, and favorable terms.
- Order Tracking and Follow-Up: Track purchase orders and proactively follow up on deliveries to ensure materials are received on time and in full compliance with specifications.
- Compliance and Documentation: Maintain accurate and up-to-date procurement records, supplier databases, and documentation to support audits, regulatory compliance, and internal reporting.
- Market Research and Cost Analysis: Conduct comprehensive market research to identify cost-saving opportunities, evaluate alternative sourcing options, and stay informed of pricing trends and industry developments.
- Regulatory and Policy Adherence: Ensure all procurement activities comply with company policies, contractual obligations, and applicable Saudi Arabian laws and regulations.
- Financial Coordination: Collaborate with the finance department to verify invoices, process payments, and monitor budget adherence to maintain financial discipline.
- Reporting and Performance Analysis: Provide management with detailed procurement reports, supplier performance evaluations, and cost analysis to support data-driven decision-making.
Qualifications and Skills
To excel in this role, candidates must meet the following requirements:
- Education: Bachelor’s degree in Business Administration, Supply Chain Management, Logistics, Commerce, or a related field from a recognized institution.
- Professional Experience: Minimum of three to five years of progressive experience in procurement, purchasing, or supply chain operations, preferably within a corporate or industrial setting.
- Core Competencies: Exceptional negotiation, communication, and vendor management skills with a proven ability to build and sustain professional relationships.
- Technical Proficiency: Strong working knowledge of procurement processes, inventory control systems, and supplier relationship management methodologies. Familiarity with ERP systems, procurement software, and Microsoft Office applications (Word, Excel, PowerPoint) is essential.
- Analytical and Organizational Skills: Demonstrated ability to work independently, manage multiple priorities, meet tight deadlines, and deliver results under pressure.
- Regional Expertise: Prior experience with Saudi market suppliers and in-depth knowledge of local procurement regulations and business practices are highly advantageous.
