Eram Talent is seeking a highly skilled and proactive Management Executive Secretary to provide exceptional administrative support to senior leadership. Key Responsibilities
The Management Executive Secretary will be entrusted with the following core duties to enhance the productivity and effectiveness of the executive team:
- Calendar and Schedule Management: Oversee the Chief Officer’s calendar with precision, coordinating appointments, meetings, and high-priority engagements while resolving scheduling conflicts with tact and efficiency. Ensure optimal time allocation to maximize productivity and align with organizational objectives.
- Travel Coordination: Plan and execute all aspects of the Chief Officer’s business travel, including itinerary development, transportation arrangements, accommodation bookings, and expense tracking. Optimize travel logistics to ensure cost-effectiveness without compromising quality or convenience.
- Communication and Correspondence: Act as the primary liaison for the Chief Officer, managing incoming and outgoing communications with discretion and professionalism. Draft, edit, and distribute correspondence, including emails, memos, reports, and official letters, ensuring clarity, accuracy, and adherence to corporate standards.
- Meeting and Event Coordination: Organize and facilitate meetings, conferences, and executive events from inception to completion. Prepare comprehensive agendas, compile relevant materials, and ensure all logistical requirements are met. Record and distribute minutes, action items, and follow-up tasks to stakeholders.
- Document and Records Management: Maintain meticulous and secure filing systems for executive-level documents, contracts, and records. Ensure compliance with data protection policies and facilitate easy retrieval of critical information when required.
- Research and Analysis Support: Conduct in-depth research to gather data and insights that inform executive decision-making. Compile reports, presentations, and briefing materials to support strategic initiatives and operational planning.
- Expense Management: Track, process, and reconcile the Chief Officer’s business expenses in accordance with company policies and regulatory requirements. Prepare accurate expense reports and maintain detailed records for auditing purposes.
- Project and Initiative Support: Provide administrative and operational assistance for special projects or initiatives assigned by the Chief Officer. Collaborate with cross-functional teams to ensure seamless execution and alignment with organizational goals.
- Confidentiality and Discretion: Uphold the highest standards of confidentiality when handling sensitive information, executive communications, and strategic discussions. Exercise sound judgment in sharing information and adhere to all privacy and security protocols.
- Process Improvement and Compliance: Identify opportunities to enhance systems, workflows, and operational efficiencies. Recommend and implement best practices to streamline processes and ensure adherence to departmental policies, procedures, and regulatory standards.
- Reporting and Documentation: Contribute to the preparation of timely, accurate, and comprehensive reports to meet departmental and organizational requirements. Ensure all documentation aligns with established policies, standards, and compliance frameworks.
Qualifications and Requirements
To excel in this role, candidates must meet the following criteria:
- Education: A Bachelor’s degree in Business Administration, Management, or a related field from a recognized and accredited university is required. A Master’s degree in Business Administration or equivalent is highly preferred.
- Professional Experience: Minimum of 5 years of progressive experience in executive secretarial, administrative support, or a closely related role, with a proven track record of supporting senior leadership in a corporate environment.
- Technical Proficiency: Advanced proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and familiarity with enterprise-level software for calendar management, expense tracking, and document collaboration.
