Position Overview
We are seeking a highly organized and detail-oriented HR & Government Relations Coordinator to join our team in Jubail Industrial City 2, Saudi Arabia. In this pivotal role, you will serve as the backbone of our Human Resources and Government Relations functions, ensuring seamless coordination of HR operations, employee administration, regulatory compliance, and government services. Your expertise will be instrumental in maintaining full compliance with Company policies, Saudi Labor Law, and applicable government regulations, thereby supporting efficient business operations and safeguarding the Company’s operational integrity.
Key Responsibilities
- HR Operations Support: Provide comprehensive administrative assistance to the Human Resources Department, facilitating day-to-day operations and ensuring smooth workflows.
- Document Preparation & Management: Draft, review, and manage critical HR documents, including employment contracts, offer letters, salary certificates, experience certificates, and other official correspondence, while maintaining the highest standards of accuracy and confidentiality.
- Employee Records Administration: Maintain and update meticulous employee records, personnel files, and HR databases, ensuring compliance with data protection policies and regulatory requirements.
- Government Platform Coordination: Process and follow up on HR and government-related transactions through key platforms such as Qiwa, GOSI, Muqeem, Mudad, Absher Business, and other relevant systems to ensure timely and accurate submissions.
- Government Services Coordination: Manage and coordinate essential government-related services, including employment visas, visit visas, exit/re-entry visas, Iqama issuance and renewals, work permits, and foreign recruitment documentation, acting as the primary liaison between the Company and government authorities.
- Regulatory Compliance: Support HR operational activities, including attendance management, leave administration, and employee request processing, while ensuring adherence to Saudi Labor Law, Saudization requirements, and Company policies.
- Government Relations & Licensing: Collaborate with relevant departments to process government-related requirements, ensuring the Company’s compliance with applicable regulations and maintaining valid licenses, permits, registrations, and certificates through government platforms.
- Record Keeping & Renewal Tracking: Maintain precise records of all government transactions and proactively monitor renewal schedules to ensure timely completion of regulatory obligations and avoid compliance gaps.
- Administrative & Operational Support: Provide essential administrative and operational support to uphold business continuity, covering critical HR activities as needed and stepping in to address operational demands.
- Ad Hoc Duties: Perform additional HR, government relations, or administrative tasks as assigned by management to support the Company’s strategic objectives.
Qualifications & Experience
- Bachelor’s degree in Human Resources, Business Administration, or a closely related field.
- Minimum of 2–4 years of progressive experience in Human Resources and/or Government Relations, preferably within the energy sector or a multinational corporate environment.
Skills & Competencies
- Communication & Interpersonal Skills: Exceptional verbal and written communication abilities to liaise effectively with employees, government authorities, and senior management.
- Organizational & Time Management: Proven capability to prioritize tasks, manage multiple responsibilities, and meet deadlines in a fast-paced environment.
- Regulatory Knowledge: In-depth understanding of Saudi Labor Law, government relations procedures, and relevant regulatory frameworks to ensure full compliance.
- Technical Proficiency: Strong working knowledge of Microsoft Office applications and familiarity with government platforms such as Qiwa, GOSI, Muqeem, Mudad, and Absher Business.
- Problem-Solving & Analytical Skills: Aptitude for identifying issues, analyzing data, and implementing effective solutions to support HR and government relations objectives.
- Professionalism & Integrity: A high degree of professionalism, discretion, and confidentiality in handling sensitive information and employee-related matters.
- Language Proficiency: Fluency in English (written and spoken) is essential; additional language skills are a plus.
