Role Overview
As the Head of Project Management Office, you will lead the company’s project delivery function, overseeing a dynamic team of Project Managers responsible for executing client-facing technology, digital transformation, systems integration, and implementation projects. This pivotal role demands extensive experience in vendor-side environments, system integration, IT services, or consulting, with a proven track record of delivering projects under contractual scope, strict timelines, budget constraints, and high-quality standards. Key Responsibilities
The Head of Project Management Office will be entrusted with the following core responsibilities:
- Project Management Leadership:
- Lead, mentor, and develop a high-performing team of Project Managers, aligning their efforts with organizational goals and client expectations.
- Strategically assign Project Managers to projects based on project complexity, strategic priorities, client requirements, and resource availability.
- Provide hands-on supervision to ensure rigorous control over project scope, timelines, budgets, risks, issues, stakeholder engagement, and documentation.
- Intervene proactively in critical projects facing delays, delivery challenges, resource conflicts, or client escalations to restore momentum and alignment.
- Champion consistent project management methodologies, frameworks, and best practices across all active projects to drive operational excellence.
- Project Delivery Oversight:
- Oversee the end-to-end delivery of technology, software, infrastructure, cloud, data, AI, ERP, CRM, systems integration, and digital transformation initiatives.
- Ensure every project is underpinned by robust plans, defined milestones, measurable deliverables, clear acceptance criteria, resource plans, RAID logs, and transparent reporting mechanisms.
- Monitor project health in real time, identifying deviations and implementing corrective actions for delayed, at-risk, or underperforming projects.
- Guarantee that all projects are delivered in strict accordance with signed contracts, agreed scope, timelines, budgetary constraints, and quality benchmarks.
- Executive Reporting and Visibility:
- Establish and maintain a robust project reporting framework, delivering accurate, realistic, and timely updates to the CEO and senior management.
- Consolidate and present critical insights on project status, highlighting risks, delays, client escalations, resource constraints, financial implications, and required executive decisions.
- Maintain comprehensive visibility into project progress, schedule adherence, budget performance, scope integrity, quality metrics, and client satisfaction levels.
- Client and Stakeholder Management:
- Act as the senior escalation point for client-facing delivery issues, project risks, delays, and scope-related disputes.
- Support Project Managers in client communications, steering committee meetings, executive briefings, and escalation discussions to maintain trust and transparency.
- Ensure client expectations are actively managed and aligned with delivery commitments, scope boundaries, timelines, dependencies, and change requests.
- Scope, Risk, and Change Control:
- Enforce rigorous scope control to prevent unmanaged scope creep and maintain project integrity.
- Oversee the identification, assessment, and mitigation of project risks, issues, assumptions, dependencies, and their potential impacts.
- Review and approve change requests that may affect scope, timelines, costs, resources, or deliverables, ensuring alignment with contractual and financial obligations.
- Collaborate with commercial, account management, legal, procurement, technical, and delivery teams to assess and manage the implications of proposed changes.
- Ensure proper completion of project acceptance, sign-off, and closure documentation to formalize project delivery and facilitate knowledge transfer.
- Resource and Delivery Coordination:
- Coordinate with delivery managers, technical leads, department heads, vendors, and subcontractors to secure and allocate necessary project resources.
- Monitor resource allocation, utilization rates, capacity constraints, and competing project priorities to optimize team performance.
- Resolve resource conflicts and delivery bottlenecks by prioritizing initiatives and reallocating resources as needed to maintain project momentum.
- Delivery Quality and Continuous Improvement:
- Ensure all project deliverables meet or exceed agreed quality standards, client requirements, and acceptance criteria.
- Foster a culture of delivery discipline, accountability, and excellence in documentation, communication, and risk management practices.
- Systematically capture lessons learned from completed projects and drive practical improvements in project delivery methodologies and processes.
Required Experience and Qualifications
To excel in this role, you must possess a minimum of [X] years of progressive experience in project management within a vendor-side, system integrator, IT services, or consulting environment.
