Role Overview

We are seeking a highly organized and proactive Office Administrator to join our team in Dammam. This full-time, on-site position will play a pivotal role in maintaining the efficiency and functionality of our office operations. The successful candidate will oversee daily administrative tasks, including managing correspondence, organizing and maintaining files and records, and ensuring the availability of office supplies and equipment. The role requires coordinating schedules, preparing reports and documentation, and facilitating internal communication between departments. The Office Administrator will also handle customer inquiries, support logistics and administrative processes related to our chemical services, and maintain an orderly and productive office environment. Collaboration with operations, logistics, and management teams is essential to ensure smooth workflows and operational excellence.

Key Responsibilities

  • Office Operations: Manage day-to-day administrative tasks, including handling incoming and outgoing correspondence, organizing and maintaining physical and digital files, and ensuring office supplies and equipment are adequately stocked and functional.
  • Scheduling and Coordination: Assist in coordinating schedules, meetings, and appointments, and prepare agendas and follow-up documentation as required.
  • Reporting and Documentation: Prepare basic reports, presentations, and other documentation to support internal and external stakeholders. Ensure accuracy and compliance with company standards.
  • Customer and Internal Support: Respond to customer inquiries in a professional and timely manner, and liaise with internal teams to support logistics and administrative processes related to chemical services.
  • Communication Facilitation: Serve as a point of contact for internal communication, ensuring information flows efficiently between departments and stakeholders.
  • Process Improvement: Identify opportunities to streamline administrative processes and enhance office efficiency, contributing to the overall productivity of the organization.

Qualifications and Skills

To excel in this role, candidates should possess the following qualifications and competencies:

  • Administrative Expertise: Proven experience in office administration or administrative assistance, with a strong ability to organize records, manage workflows, and maintain office systems.
  • Communication and Customer Service: Excellent verbal and written communication skills, with the ability to interact professionally with internal teams and external clients. A customer-centric approach is essential.
  • Technical Proficiency: Familiarity with standard office software, including email platforms, word processing, and spreadsheet applications. Experience with office equipment maintenance is a plus.
  • Organizational and Time Management: Exceptional attention to detail, strong time management abilities, and the capacity to prioritize tasks effectively in a fast-paced environment.
  • Industry Experience: Prior experience in an administrative or office support role within industrial, manufacturing, or logistics settings is highly beneficial, given the nature of our operations.
  • Educational Background: A diploma or bachelor’s degree in business administration, management, or a related field is advantageous but not mandatory.
  • Language and Cultural Competency: Proficiency in both English and Arabic is preferred, along with a solid understanding of local business practices in Saudi Arabia to ensure seamless interactions with stakeholders.
