Role Overview
The Contract Administrator plays a pivotal role in managing and maintaining all employee and player contract records within the Women’s Football Department. This position is integral to ensuring seamless payroll coordination, precise employee data management, and strict adherence to contract compliance. By overseeing accurate record-keeping, timely updates, and proper archiving of contract-related documentation, the Contract Administrator ensures the integrity and efficiency of the department’s operations. Acting as a central liaison between the Women’s Football Department, Human Resources, Finance, and Legal teams, the role guarantees the accuracy, completeness, and compliance of contract and payroll-related information throughout the entire contract lifecycle, from initiation to termination.
Key Responsibilities
The Contract Administrator is tasked with a range of critical responsibilities designed to uphold the highest standards of contract administration and compliance. These include:
- Contract Administration & Compliance:
- Maintain and archive all employee and player contract documentation meticulously, covering the full contract lifecycle—from initial signing to termination and final settlement.
- Monitor contract statuses, including expiry dates, renewal opportunities, and amendments, and coordinate necessary updates with relevant departments to ensure seamless transitions.
- Ensure contract records are consistently accurate, up to date, and archived in strict accordance with club policies and regulatory requirements.
- Serve as the primary liaison between departments to foster consistency and precision in contract-related information, eliminating discrepancies and enhancing collaboration.
- Payroll Coordination & Records Management:
- Support monthly payroll processes by maintaining and coordinating contract-related data, including salaries, allowances, bonuses, deductions, and adjustments, to ensure timely and accurate disbursements.
- Assist in verifying that all approved contractual changes and deductions are accurately reflected in payroll records, minimizing errors and ensuring compliance.
- Maintain comprehensive attendance and absence records to support payroll calculations and adherence to compliance protocols.
- Administrative Support:
- Provide comprehensive administrative support to the Women’s Football Department, addressing operational needs and facilitating smooth departmental functions.
- Undertake additional duties as assigned by the Administrator Lead or Technical Director, demonstrating flexibility and a proactive approach to task management.
Knowledge & Experience
To excel in this role, candidates must possess a minimum of three years of professional experience in contract administration, HR administration, payroll coordination, or a closely related field. Proficiency in managing employee records and handling confidential documentation with the utmost discretion is essential. Familiarity with payroll processes, employee lifecycle administration, and records management systems is highly desirable. Experience collaborating with HR, Finance, and Legal stakeholders to align contract and payroll activities with organizational objectives is a key requirement.
Education
Applicants should hold a Bachelor’s degree or equivalent qualification in Business Administration, Human Resources, Finance, Law, or a related discipline. This educational background provides the foundational knowledge necessary to navigate the complexities of contract administration and compliance effectively.
