Material Expediter

Position Overview

We are seeking a highly organized and proactive Material Expediter to join our dynamic team in the Kingdom of Saudi Arabia. In this critical role, you will play a pivotal part in ensuring the seamless flow of materials across procurement, manufacturing, logistics, and delivery stages to meet project timelines and requirements. Your responsibilities will encompass close collaboration with suppliers, freight forwarders, procurement teams, warehouse/site personnel, and project management to mitigate delays and uphold operational efficiency. The ideal candidate will demonstrate exceptional follow-up skills, meticulous attention to detail, and the ability to thrive in a fast-paced, deadline-driven environment.

Key Responsibilities

• Material Tracking and Expediting: Maintain and update the Project Material Tracker with real-time status updates on Purchase Requests (PRs), Purchase Orders (POs), manufacturing progress, shipment tracking, and delivery milestones. Proactively expedite suppliers to ensure timely order acknowledgment, production completion, and dispatch in alignment with project schedules.
• Risk Management and Reporting: Monitor critical materials and identify potential supply chain risks, promptly escalating concerns to procurement and project teams to prevent delays. Prepare and distribute weekly material status reports to management and stakeholders, ensuring transparency and accountability in material flow.
• Vendor and Logistics Coordination: Liaise with vendors to obtain production schedules, inspection dates, and shipping details. Coordinate with freight forwarders, customs clearance agents, and transporters to facilitate smooth import/export operations. Ensure compliance with local and international logistics documentation, including Bills of Lading, Air Waybills, Commercial Invoices, Packing Lists, and customs documents.
• Documentation and Compliance: Maintain accurate records of purchase orders, delivery notes, inspection reports, and other critical documentation. Ensure adherence to company procurement procedures and Kingdom of Saudi Arabia (KSA) regulations governing material procurement and logistics.
• Local and International Logistics: Oversee local material collection and transportation within KSA, coordinating timely pickup from suppliers and delivery to designated warehouses or project sites. Manage international shipments, including customs clearance and freight forwarding, to ensure compliance with import/export requirements.
• Stakeholder Collaboration: Work closely with procurement teams to resolve vendor performance issues and support cross-functional initiatives aimed at optimizing material availability and project execution. Follow up on pending approvals, documentation, and material submittals that impact procurement progress.

Qualifications and Skills

• Education: Bachelor’s degree or diploma in Supply Chain Management, Logistics, Business Administration, or a related field.
• Experience: Minimum of 3–5 years of hands-on experience in procurement expediting, logistics coordination, or material control, preferably within system integrator companies or fast-track projects.
• Technical Proficiency: Strong working knowledge of Microsoft Excel, Enterprise Resource Planning (ERP) systems, and material tracking/reporting tools. Familiarity with logistics software and customs documentation processes is a plus.
• Regulatory Knowledge: In-depth understanding of KSA import/export regulations, local transportation processes, and customs clearance procedures.
• Soft Skills: Exceptional communication, follow-up, and coordination abilities to engage effectively with suppliers, internal teams, and external stakeholders. Ability to multitask and prioritize under pressure while maintaining a high standard of accuracy and professionalism.
• Language Requirements: Fluency in English is essential. Proficiency in Arabic is advantageous for seamless communication within the local context.
