Position Overview
We are seeking a highly organized and strategic Inbound Logistics Specialist to oversee and optimize inbound logistics operations for our KSA (ASDI) and UAE (DIP) manufacturing facilities. This pivotal role will report directly to the Inbound Logistics Manager and will be based in Dammam, Saudi Arabia. The successful candidate will play a critical part in ensuring the seamless, cost-effective, and timely delivery of raw and packaging materials by coordinating with suppliers, managing shipment logistics, and maintaining strict compliance with regulatory and company standards.
Core Responsibilities
The Inbound Logistics Specialist will be responsible for the following key functions:
- Inbound Logistics Coordination:
- Collaborate closely with the Supply Chain team to validate and confirm supplier orders, ensuring alignment with production schedules and strategic objectives.
- Monitor supplier performance to guarantee adherence to agreed shipping timelines and quality standards.
- Negotiate competitive freight rates with forwarders and logistics partners to optimize cost-efficiency while maintaining service excellence.
- Determine the most efficient shipping methods and routes to minimize transit times and reduce operational costs.
- Oversee the end-to-end logistics workflow, including shipment scheduling, documentation processing, and customs clearance.
- Ensure meticulous archiving of all shipping documents—both digital and physical—such as manifests, invoices, and bills of lading, in compliance with internal and regulatory requirements.
- Cost Management and Efficiency:
- Actively manage relationships with freight forwarders to secure favorable terms and mitigate risks such as demurrage or detention charges.
- Conduct regular audits of logistics contracts and supplier agreements to identify opportunities for cost reduction without compromising service quality.
- Lead initiatives aimed at streamlining logistics processes, reducing waste, and enhancing overall operational efficiency.
- Prepare and present detailed financial reports comparing budgeted versus actual logistics expenditures to senior management.
- Reporting and Compliance:
- Develop and maintain comprehensive logistics reports that track key performance indicators, including shipment timelines, cost variances, and supplier performance metrics.
- Provide timely updates to management and cross-functional teams on logistics status, potential disruptions, and corrective actions taken.
- Ensure full compliance with all local and international regulatory requirements, including customs, tax, and import/export documentation standards.
- Collaborate with the SC Planning Team to prepare accurate monthly accruals and financial reconciliations related to inbound logistics.
- Technology and System Ownership:
- Serve as the primary owner of the inbound logistics tracking system (Shipsy), ensuring data accuracy, completeness, and accessibility for all stakeholders.
- Train and support internal teams on the effective use of the Shipsy platform to maximize visibility and operational transparency.
- Team Collaboration and Leadership:
- Foster a collaborative work environment by working closely with internal departments, including procurement, warehouse, and production teams, to align logistics strategies with broader business goals.
- Provide guidance and support to colleagues to ensure the timely and accurate execution of logistics-related tasks.
- Promote a culture of accountability, continuous improvement, and open communication within the logistics team.
Key Performance Indicators (KPIs)
The Inbound Logistics Specialist will be evaluated based on the following performance metrics:
- Percentage of shipments delivered on time to ASDI (KSA) and DIP (UAE) facilities.
- Variance between budgeted and actual logistics expenditures, with a focus on cost reduction year-over-year.
- Successful implementation and achievement of cost-saving initiatives as outlined in annual plans.
- Accuracy, completeness, and timeliness of logistics reports and financial reconciliations.
- System data integrity and visibility within the Shipsy platform for leadership and operational teams.
- Team satisfaction and collaboration feedback from peers and management.
Qualifications and Experience
To excel in this role, candidates must meet the following requirements:
- Education: Bachelor’s degree in Logistics, Supply Chain Management, Engineering, Business Administration, or a related field.
- Experience: Minimum of 3–5 years in a logistics-focused role, with direct experience in freight forwarding, customs clearance, shipping coordination, or a similar capacity within a manufacturing or industrial environment.
- Knowledge and Skills:
- In-depth understanding of import/export procedures, port operations, and customs/tax clearance processes in the Middle East region.
- Proficiency in logistics documentation, including bills of lading, commercial invoices, packing lists, and certificates of origin.
- Familiarity with global logistics challenges, including cross-border regulations, cultural considerations, and risk mitigation strategies.
- Strong analytical and problem-solving skills, with the ability to interpret complex data and make data-driven decisions.
- Excellent verbal and written communication skills, with the capacity to present information clearly to both technical and non-technical audiences.
- Proficiency in logistics management systems (e.g., Shipsy) and Microsoft Office Suite, particularly Excel.
