Position Overview
The Contract Administrator plays a pivotal role in ensuring the seamless administration of contracts throughout their lifecycle. This position is responsible for upholding contractual obligations, maintaining precise records, and fostering collaboration across internal departments and with clients. By mitigating contractual risks and optimizing operational efficiency, the Contract Administrator supports the company’s commercial objectives and enhances client satisfaction. Reporting directly to the Business Development Manager, this role is based in Al Khobar, Saudi Arabia, and offers an opportunity to contribute to ENGIE Solutions’ mission of delivering excellence in facility management.
Key Responsibilities
- Contract Preparation and Administration: Draft, review, and administer client contracts, service agreements, non-disclosure agreements (NDAs), and subcontract agreements to ensure alignment with business objectives and legal requirements.
- Document Management: Maintain comprehensive contract registers and ensure all contractual documentation is accurately filed, controlled, and easily accessible for audits or reviews.
- Milestone and Compliance Monitoring: Track contract milestones, expiry dates, renewal opportunities, and deliverables to ensure timely execution and compliance with contractual terms.
- Cross-Departmental Coordination: Collaborate with Operations, Finance, Procurement, and Legal teams to ensure adherence to contractual obligations and resolve any discrepancies or issues promptly.
- Risk Identification and Mitigation: Review tender and contract documents to identify potential commercial and contractual risks, and propose strategies to mitigate these risks effectively.
- Contract Correspondence: Prepare and manage contract-related correspondence, including notices, variation orders, claims, and amendments, ensuring clarity and accuracy in all communications.
- Commercial Support: Assist in commercial negotiations during tendering and post-award stages, providing insights and recommendations to support favorable outcomes.
- Dispute Resolution: Facilitate dispute resolution and contractual clarifications with clients, ensuring that issues are resolved in a timely and professional manner.
- Reporting and Documentation: Generate and present contractual reports for management, highlighting key performance indicators, risks, and opportunities for improvement.
Qualifications and Requirements
To excel in this role, candidates must meet the following criteria:
- Education: A Bachelor’s Degree in Business Administration, Law, Engineering, or a related field is required. Knowledge of FIDIC or similar contract forms is considered a strong asset.
- Experience: A minimum of 5 to 8 years of experience in contract administration, preferably within Facility Management, Construction, or Engineering sectors, is essential.
- Technical Proficiency: Demonstrated expertise in Microsoft Office Suite, including Word, Excel, PowerPoint, Project, and Outlook, is necessary for effective contract management and reporting.
- Core Competencies:
- Exceptional written and verbal communication skills to articulate complex contractual terms clearly.
- Strong negotiation abilities to advocate for the company’s interests during contract discussions.
- Meticulous attention to detail to ensure accuracy in all contractual documentation and correspondence.
- Advanced document management skills to organize and maintain large volumes of contractual data.
- Analytical and organizational prowess to manage multiple contracts and deadlines efficiently.
- Familiarity with Enterprise Resource Planning (ERP) systems is advantageous for streamlining contract administration processes.
