Your Role as a Programs Coordinator

As a Programs Coordinator at JASARA PMC, you will play a pivotal role in maintaining the operational efficiency of our programs by ensuring clear information flow, timely decision-making, and consistent progress across teams. This position is ideal for professionals who excel in structured project environments and are passionate about fostering clarity, consistency, and momentum in complex program activities. You will serve as the backbone of program operations, supporting the seamless execution of initiatives that shape large-scale development and delivery in Saudi Arabia.

Key Responsibilities

• Program and Project Coordination: Oversee program and project activities, ensuring alignment with strategic goals and tracking action items to completion.
• Meeting Management: Prepare comprehensive meeting agendas, document detailed minutes, and compile progress updates to facilitate informed decision-making.
• Documentation and Reporting: Maintain accurate trackers, dashboards, and reports to monitor program performance, risks, issues, decisions, deliverables, and deadlines.
• Stakeholder Engagement: Coordinate effectively with internal departments, consultants, contractors, and client representatives to ensure seamless communication and collaboration.
• Governance and Compliance: Support governance frameworks and reporting cycles to uphold program standards and regulatory requirements.
• Scheduling and Logistics: Assist in organizing workshops, meetings, and other program-related events, ensuring efficient logistics and adherence to timelines.
• Risk and Issue Management: Track and escalate risks, issues, and decisions to mitigate potential disruptions and maintain program momentum.
• Documentation Oversight: Ensure all program documentation is organized, accurate, and up to date to support audit trails and compliance.
• PMO and Project Controls Support: Collaborate with the Project Management Office (PMO) and project controls teams to enhance program management practices and deliverables.
• Presentation and Reporting Support: Prepare high-quality presentations and management updates to communicate program status, challenges, and achievements effectively.

Qualifications and Experience

To excel in this role, you must meet the following requirements:

• Education: Bachelor’s degree in Project Management, Engineering, or a related field.
• Experience: 8-10 years of relevant experience in Project Management Consultancy (PMC) or project coordination, with a proven track record across multiple concurrent projects.
• Industry Background: Demonstrated experience in PMC, construction, or real estate development.
• Technical Proficiency: Advanced skills in Microsoft Excel, PowerPoint, and Primavera P6.
• Language Skills: Fluency in both English and Arabic, with the ability to communicate effectively in a multicultural environment.
• Work Authorization: Eligibility to work in Saudi Arabia.

Preferred Qualifications: Experience in large-scale residential or infrastructure programs in the Kingdom of Saudi Arabia, proficiency in Power BI and MS Project, coursework in project management, and certifications such as CAPM, PMP, or Power BI.
