Position Overview

We are seeking a highly organized and detail-oriented Sales Administrative Assistant to join our dynamic team. This role serves as a critical support function within the sales operations, acting as the primary liaison between District Managers, Dealer Network Specialists, Regional Sales Directors, and other departments to ensure seamless communication and compliance with Kawasaki’s policies and procedures. The ideal candidate will thrive in a fast-paced environment, demonstrating exceptional administrative skills, strong proficiency in Microsoft Office 365, and the ability to manage multiple priorities with precision.

Key Responsibilities

The Sales Administrative Assistant will play a pivotal role in maintaining operational efficiency and supporting the regional sales team. Primary duties include:

  • Dealer and Regional Coordination: Act as the central point of contact for District Managers, Dealer Network Specialists, and Regional Sales Directors, facilitating updates on DSSA (Dealer Sales Support Agreement) changes, GM (General Manager) amendments, and terminations within the region. Collaborate closely with Regional Administrators to ensure real-time accuracy of regional and national dealer contact lists.
  • Financial and Administrative Support: Prepare and reconcile bank statement transactions for review and approval by the Regional Sales Director and District Managers using Concur. Maintain electronic filing systems in SharePoint, ensuring compliance with Kawasaki’s Information Governance policies. Assist with travel coordination for all regional team members and ensure timely submission of weekly itineraries.
  • Reporting and Documentation: Compile and maintain critical statistical reports and spreadsheets, including sales plans, vehicle order periods, market share analysis, and Cognos queries. Prepare routine internal correspondence during order periods to uphold dealer compliance and maintain organized records of all dealer-related documentation.
  • Office and Operational Support: Manage office supply orders, respond to and direct regional telephone calls, and issue timely reminders for weekly/monthly tasks. Demonstrate a strong understanding of DMV state sales and distributor license requirements to support the Regional Sales Director and District Managers.

Qualifications and Skills

To excel in this role, candidates must meet the following requirements:

  • Education: A high school diploma or GED is required; a Bachelor’s degree (BA/BS) or Associate’s Degree is preferred. Minimum of two years of related administrative experience in a corporate or sales support environment is required. Equivalent combinations of education and experience will be considered.
  • Technical Proficiency: Solid knowledge of Office365, including Teams, SharePoint, and Outlook. Experience with mail merge in Word and the creation of pivot tables and charts in Excel is essential. Familiarity with internal systems such as Cognos, Tableau, and the dealer package portal is highly desirable for processing critical dealer transactions, including ownership changes, buyouts, terminations, agreement renewals, and GM assignments.
  • Soft Skills: Exceptional oral and written communication skills, with the ability to articulate information clearly and concisely. Strong organizational and prioritization abilities to manage competing deadlines effectively. A detail-oriented mindset with a commitment to accuracy and timeliness. Ability to contribute positively to team efforts with energy and enthusiasm.
