Key Responsibilities

• Event Planning and Coordination: Collaborate with clients, internal teams, and vendors to conceptualize, plan, and execute events of varying scales and complexities. Develop detailed event proposals, timelines, and budgets to ensure alignment with client expectations and organizational objectives.
• Vendor and Supplier Management: Liaise with external partners, including caterers, decorators, AV technicians, and entertainment providers, to secure services, negotiate contracts, and ensure timely delivery. Maintain strong relationships with industry professionals to guarantee high-quality event components.
• Logistics and Operations: Oversee all logistical aspects of events, including venue setup, equipment procurement, transportation, and staffing. Ensure compliance with safety regulations, accessibility standards, and hotel policies throughout the event lifecycle.
• Client Relations and Communication: Act as the primary point of contact for clients, addressing inquiries, providing updates, and resolving issues promptly and professionally. Foster long-term relationships by delivering exceptional service and exceeding client expectations.
• Budget Management: Monitor event expenditures, track costs, and prepare financial reports to ensure adherence to allocated budgets. Identify cost-saving opportunities without compromising on quality or guest experience.
• Marketing and Promotion: Support the development and execution of marketing strategies to promote events, including digital campaigns, social media engagement, and traditional advertising. Collaborate with the marketing team to enhance brand visibility and attract a diverse audience.
• Post-Event Evaluation: Conduct thorough post-event assessments to evaluate success, gather feedback from clients and attendees, and identify areas for improvement. Implement lessons learned to refine future event strategies and enhance operational efficiency.

Qualifications and Skills

To excel in this role, candidates should possess the following qualifications and competencies:

• A bachelor’s degree in Hospitality Management, Event Management, Business Administration, or a related field. Relevant certifications or training in event planning are advantageous.
• Proven experience in event coordination or a similar role, with a track record of successfully managing events of varying sizes and types.
• Exceptional organizational, multitasking, and time-management skills, with the ability to prioritize tasks and meet tight deadlines in a high-pressure environment.
• Strong communication and interpersonal skills, with the ability to interact professionally with clients, vendors, and internal stakeholders.
• Proficiency in event management software, such as Eventbrite, Cvent, or similar platforms, as well as Microsoft Office Suite (Word, Excel, PowerPoint).
• Attention to detail and a creative mindset to design unique and engaging event experiences that align with client visions and brand standards.
• Ability to work flexible hours, including evenings, weekends, and holidays, to accommodate event schedules and client needs.
• Fluency in English and Arabic is highly preferred, with excellent written and verbal communication skills in both languages.
• Knowledge of local event regulations and industry trends in Riyadh and the broader Middle East region is a plus.
