Bristol-Myers Squibb is seeking a highly motivated and experienced Senior Meetings Specialist to join our dynamic team in Riyadh. In this pivotal role, you will be responsible for designing, planning, and executing high-impact meetings, conferences, and events that align with our strategic objectives. As a key member of the corporate communications and engagement team, you will collaborate with cross-functional stakeholders to ensure seamless delivery of professional, engaging, and compliant meetings that enhance stakeholder relationships and drive business outcomes.

Key Responsibilities

The Senior Meetings Specialist will play a critical role in the end-to-end management of corporate meetings and events. Your core responsibilities will include:

• Strategic Meeting Planning: Develop and implement comprehensive meeting strategies that support organizational goals, including identifying target audiences, defining objectives, and aligning content with business priorities.
• Logistics and Operations: Oversee all logistical aspects of meetings, including venue selection, vendor coordination, budget management, and on-site execution to ensure flawless delivery.
• Stakeholder Engagement: Collaborate closely with internal teams—such as marketing, medical affairs, and executive leadership—to gather requirements, secure approvals, and ensure alignment with corporate policies and regulatory standards.
• Compliance and Risk Management: Ensure all meetings adhere to internal policies, industry regulations, and ethical guidelines, including managing speaker engagements, content approvals, and attendee data in accordance with privacy laws.
• Technology Integration: Leverage digital tools and platforms to enhance meeting experiences, such as virtual/hybrid event solutions, live streaming, interactive platforms, and post-event analytics to measure success and ROI.
• Vendor and Supplier Management: Build and maintain strong relationships with external vendors, including hotels, AV providers, caterers, and transportation partners, to negotiate favorable terms and ensure high-quality service delivery.
• Budget Oversight: Develop and manage meeting budgets, track expenditures, and optimize costs without compromising quality or experience.
• Performance Measurement: Establish KPIs and metrics to evaluate the success of meetings, including attendee satisfaction, engagement levels, and business impact, and present insights to leadership for continuous improvement.

Qualifications and Experience

To excel in this role, you will bring a proven track record in corporate meetings and events management, along with the following qualifications:

• Education: Bachelor’s degree in Business Administration, Marketing, Communications, Hospitality Management, or a related field. A Master’s degree or relevant certification (e.g., CMP, CMM) is a plus.
• Experience: Minimum of 7-10 years of progressive experience in meetings, events, or corporate communications, with at least 3 years in a senior or leadership role.
• Industry Knowledge: Deep understanding of the pharmaceutical or healthcare industry, including familiarity with regulatory requirements (e.g., FDA, EMA) and ethical standards for medical meetings.
• Technical Proficiency: Expertise in event management software (e.g., Cvent, Eventbrite), CRM systems, and virtual event platforms (e.g., Zoom, Microsoft Teams, Hopin).
• Soft Skills: Exceptional organizational, communication, and negotiation skills, with the ability to manage multiple priorities in a fast-paced environment. Strong attention to detail and problem-solving abilities are essential.
• Language Proficiency: Fluency in English is required; proficiency in Arabic is highly desirable.
