HR & Admin Officer – Driving Excellence in Human Resources and Administrative Operations

Join our dynamic User Experience (UX) Center in Riyadh as our dedicated HR & Admin Officer, where you will play a pivotal role in ensuring seamless human resources and administrative operations. This is a unique opportunity to be the backbone of our compact yet high-impact team, managing end-to-end HR processes and office administration with precision and professionalism. As the sole HR and administrative support for the UX Center, you will be responsible for maintaining compliance, fostering a positive employee experience, and optimizing operational efficiency in a fast-paced environment.

In this strategic role, you will combine your expertise in human resources with a keen eye for administrative excellence to create a people-centric and compliant workplace. Your contributions will directly impact employee satisfaction, organizational efficiency, and regulatory adherence, making this position both challenging and rewarding.

Key Responsibilities

Your role will encompass a broad spectrum of responsibilities, ensuring that both HR and administrative functions run smoothly and in full compliance with local regulations. Key areas of focus include:

  • Human Resources Operations:
    • Oversee the entire employee lifecycle, from onboarding and offboarding to contract management, probation tracking, and meticulous employee data updates.
    • Maintain accurate, organized, and up-to-date employee records, personnel files, and HR documentation to ensure transparency and accessibility.
    • Handle a wide range of employee services, including the issuance of employment letters, certificates, attendance records, and leave management, while addressing HR inquiries with professionalism and timeliness.
    • Ensure strict adherence to Saudi Labor Law, company policies, and internal HR procedures to mitigate risks and foster a compliant workplace.
    • Prepare and coordinate comprehensive HR reports, headcount tracking, and manpower data for management review, providing actionable insights to support strategic decision-making.
    • Serve as the primary HR point of contact for the Riyadh UX Center, addressing employee questions, concerns, and basic grievances with empathy and efficiency.
  • Government Relations & Compliance:
    • Independently manage all visa and Iqama processes, including issuance, renewal, transfer, exit/re-entry, and cancellation, ensuring seamless compliance with Saudi government requirements.
    • Liaise effectively with Saudi government platforms such as Qiwa, GOSI, Muqeem, Absher, and Mudad, maintaining real-time tracking of visa, Iqama, contract, and document expiries to preemptively address renewal needs.
    • Support and facilitate labor compliance audits or inspections, ensuring the UX Center meets all regulatory standards and maintains a pristine operational record.
  • Office & Administrative Management:
    • Oversee the day-to-day administrative operations of the UX Center office, coordinating with vendors and service providers to maintain a functional and well-supplied workspace.
    • Support employee engagement activities, internal communication initiatives, and basic welfare programs to cultivate a positive and inclusive work culture.
    • Ensure the office environment remains organized, efficient, and aligned with company standards, fostering an environment that reflects professionalism and operational excellence.

What We’re Looking For

We are seeking a detail-oriented, proactive, and highly organized professional with a passion for human resources and administrative excellence. The ideal candidate will possess the following qualifications and attributes:

  • A Bachelor’s degree in Human Resources, Business Administration, or a related field, complemented by a strong foundation in labor laws and organizational management.
  • 3–5 years of hands-on experience in HR and administrative roles, with a proven track record in Riyadh. Experience managing Saudi labor compliance, visas, and government portals independently is essential.
  • Exceptional organizational and time-management skills, with the ability to prioritize multiple responsibilities efficiently and effectively in a fast-paced environment.
  • Outstanding communication skills in English, with a strong advantage for Arabic proficiency to engage seamlessly with both local and international stakeholders.
  • Proficient in Microsoft Office (Word, Excel, PowerPoint), with an aptitude for leveraging technology to streamline HR and administrative processes.
  • A reliable, detail-oriented mindset, coupled with the ability to work independently as the sole HR and administrative support for a small yet impactful team.
