About the Role
We are a globally recognized architectural and design engineering firm with a growing presence in key markets, including Muscat, London, Belgrade, and Colombo. As we expand our operations in Riyadh, Kingdom of Saudi Arabia, we are seeking a meticulous and proactive Finance & Bid Operations Coordinator to serve as the operational backbone of our new in-office team. This full-time position offers a unique opportunity to contribute to both local commercial bidding initiatives and cross-border financial administration, working closely with our Business Development Architect and reporting directly to corporate leadership in Oman. Ideal candidates will possess a blend of financial acumen, administrative precision, and strong communication skills to thrive in a dynamic, deadline-driven environment.
Key Responsibilities
As the Finance & Bid Operations Coordinator, you will play a pivotal role in ensuring the seamless execution of our firm’s bidding and financial processes. Your responsibilities will span two core domains:
Bid & Proposal Operations (Saudi Market Support)
- Platform & Tender Management: Proactively monitor the Etimad portal and private developer platforms to track architectural Requests for Proposals (RFPs). Facilitate the legal procurement of tender documents while ensuring strict adherence to submission deadlines.
- Localization & Compliance: Translate official Arabic government circulars, municipality codes, and client brief requirements into clear, concise English to support the Business Development Architect in preparing compliant proposals.
- Proposal Assembly: Coordinate the compilation of commercial, legal, and administrative documents required for complete and compliant bid submissions, ensuring all materials meet regulatory and client-specific standards.
Financial Administration (KSA & Oman Support)
- Cross-Border Bookkeeping: Log into our corporate accounting system based in Oman to reconcile bank statements, upload receipts, and verify supplier ledgers, ensuring accuracy and transparency in financial records.
- Local Financial Oversight: Manage the Riyadh office’s petty cash system, including verification, scanning, and documentation of all operational expense receipts to maintain financial integrity.
- Tax & Regulatory Coordination: Serve as the primary local contact for compiling and submitting data required by the Saudi Zakat, Tax and Customs Authority (ZATCA), ensuring compliance with national tax regulations.
Office Representation & Internal Control
- Client & Stakeholder Relations: Act as the first point of contact for incoming calls from Saudi clients and government entities, representing the firm professionally in Arabic and ensuring inquiries are addressed promptly and accurately.
- Operational Reporting: Maintain daily communication with Oman headquarters to provide updates on office attendance, project submission statuses, and administrative developments, fostering transparency and alignment with corporate objectives.
Qualifications & Requirements
- Education: Bachelor’s degree or Diploma in Business Administration, Finance, Commerce, English Translation, or a related field.
- Language Proficiency: Native fluency in spoken and written Arabic; professional proficiency in English is essential for daily interactions with architects, clients, and corporate teams.
- Technical Competencies: Strong working knowledge of Microsoft Excel and Word; willingness to learn corporate accounting software and the Saudi Etimad platform to enhance operational efficiency.
- Personal Attributes: Demonstrated integrity, exceptional attention to detail, punctuality, and a proactive approach to problem-solving. Fresh graduates with outstanding communication skills are encouraged to apply.
Compensation & Benefits
We offer a competitive and comprehensive compensation package designed to support your professional growth and work-life balance. The total fixed package amounts to SAR 6,500 per month, structured as follows:
- Basic Salary: SAR 3,250 (50%)
- Housing Allowance: SAR 2,275 (35%)
- Transportation Allowance: SAR 975 (15%)
