Position Overview

We are seeking a meticulous and highly organized Contract Administrator to join our dynamic team based in Riyadh, Saudi Arabia. In this pivotal role, you will oversee the entire contract lifecycle, ensuring strict adherence to organizational policies while supporting critical business operations through streamlined contract administration. The ideal candidate will exhibit exceptional organizational acumen, an unwavering commitment to detail, and the capacity to manage multiple contracts concurrently without compromising accuracy or professionalism.

Key Responsibilities

  • Contract Documentation Management: Prepare, review, and maintain all contract-related documentation with precision, ensuring full compliance with organizational standards and regulatory requirements.
  • Record Keeping & Organization: Manage contract filing systems and maintain meticulously organized records using advanced document management software to facilitate easy retrieval and audit readiness.
  • Milestone & Deadline Tracking: Monitor contract milestones, renewal dates, and expiration dates to proactively initiate necessary actions, thereby preventing any operational disruptions or lapses in compliance.
  • Stakeholder Coordination: Collaborate with internal departments and external vendors to gather essential information and documentation, fostering seamless communication and alignment across all parties.
  • Risk Assessment & Analysis: Analyze contract terms and conditions to identify potential risks, discrepancies, or non-compliance issues, providing actionable insights to mitigate exposure.
  • Negotiation Support: Assist in contract negotiations by preparing comprehensive summaries, comparative analyses, and supporting documentation to strengthen our position and secure favorable terms.
  • Performance Monitoring: Track contract performance to ensure all parties fulfill their contractual obligations, addressing any deviations promptly and effectively.
  • Reporting & Database Management: Generate detailed reports and maintain accurate databases pertaining to active contracts, their status, and key performance indicators.
  • Stakeholder Communication: Respond to contract-related inquiries from internal and external stakeholders in a timely, professional, and solution-oriented manner.
  • Process Improvement: Contribute to the development and implementation of contract administration procedures and best practices to enhance efficiency and reduce operational risks.

Qualifications & Skills

To excel in this role, candidates must possess the following qualifications and competencies:

  • Professional Experience: Proven track record in contract administration or related administrative support roles, with a minimum of [X] years of relevant experience.
  • Technical Proficiency: Strong working knowledge of Microsoft Office Suite, particularly Excel and Word, alongside familiarity with contract management systems and document management software.

  • Experience with advanced document management software and contract lifecycle management systems.
  • Familiarity with local business practices, regulatory frameworks, and cultural nuances in Saudi Arabia.
  • Professional certifications in contract management or related fields (e.g., Certified Associate in Project Management (CAPM), Certified Commercial Contracts Manager (CCCM)).

Project Context

This position is integral to the SWHT project located in the Qiddiya area, contributing to the development and execution of contracts that align with the project’s strategic objectives. The successful candidate will play a key role in ensuring that all contractual obligations are met, risks are mitigated, and business operations remain uninterrupted.
