HR Senior Specialist – Strategic HR Operations & Administrative Leadership

Join our dynamic HR team as an **HR Senior Specialist**, where you will play a pivotal role in driving seamless HR operations, ensuring compliance with company policies, and fostering a culture of excellence within our clinic environment. This position offers a unique opportunity to blend administrative expertise with strategic HR initiatives, supporting both operational efficiency and employee satisfaction.

As an **HR Senior Specialist**, you will be the backbone of HR administrative processes, ensuring smooth workflows from onboarding to offboarding while collaborating closely with cross-functional teams, HR Subject Matter Experts (SMEs), and external stakeholders. Your role is instrumental in maintaining regulatory compliance, managing financial processes, and contributing to HR projects that enhance organizational design and talent management.

Key Responsibilities

Your responsibilities will span a broad spectrum of HR functions, including but not limited to:

  • HR Administrative Excellence: Execute HR administrative tasks with precision, including payroll-related processes such as PRs (Purchase Requests), vendor payments, and due settlements with external agencies. Coordinate with relevant stakeholders to ensure timely approvals, signatures, and documentation.
  • Employee Lifecycle Management: Oversee the entire employee lifecycle, from onboarding to termination, ensuring adherence to company policies and regulatory standards. This includes:
    • Registering new employees in the system and managing documentation in compliance with clinic and accreditation requirements.
    • Facilitating the onboarding process by coordinating with IT, HR, and other stakeholders to create and execute induction schedules, ensuring a seamless transition for new hires.
    • Managing employee requests, including complaints, attendance reports, and probation period documentation, in collaboration with the HR Care team at the head office.
    • Handling termination processes, ensuring all legal and procedural requirements are met and all necessary documentation is submitted.
  • Government & Regulatory Compliance: Act as the primary point of contact for government affairs, including HRDF, Tamheer, and Taqat, ensuring all regulatory filings and communications are accurate and timely. Work closely with the HR Care team at the head office to maintain compliance.
  • Financial & Payment Coordination: Manage internal and external payment processes, including monthly commissions, medical insurance settlements, and vendor payments. Create and follow up on Purchase Requests (PRs), Payment Orders (POs), and other financial documentation to ensure accuracy and timeliness.
  • HR Project Contribution: Participate in HR departmental projects such as Organization Design and Talent Sourcing to support clinic HR operations. Your insights and contributions will help drive strategic initiatives that enhance workforce planning and talent acquisition.
  • Stakeholder Collaboration: Engage with internal teams (Finance, IT, Clinic Operations) and external partners to ensure alignment on HR processes, policies, and project deliverables.

This role is not limited to the outlined responsibilities; you will be expected to adapt to evolving business needs and take ownership of additional tasks as assigned.

Work Environment & Schedule

This is an **indoor role** with a structured schedule designed to balance productivity and work-life harmony:

  • **Work Location:** 100% indoor office environment.
  • **Working Days:** Monday to Friday (5 days per week).
  • **Days Off:** Two dedicated days off per week.
  • **Working Hours:** 8:00 AM to 5:00 PM, with a 1-hour break to ensure focus and efficiency.

Qualifications & Requirements

To excel in this role, you must possess a blend of educational background, technical skills, and professional experience:

  • Education: A **Bachelor’s degree in Human Resources or a related field**, or a **Diploma in HR**, from an accredited institution.
  • Experience: **Minimum of 3 years of experience** in HR administrative roles, preferably in a healthcare or corporate setting. Experience with employee lifecycle management, payroll processes, and regulatory compliance is highly valued.
  • Technical Skills: Proficiency in **MS Office Suite**, including advanced Excel for data management and reporting. Familiarity with HRIS (Human Resource Information Systems) and basic financial software is a plus.
  • Language Proficiency: Fluent in both **English and Arabic**, with strong written and verbal communication skills to interact effectively with diverse stakeholders.
