As an HR & Workforce Operations Specialist, you will serve as the backbone of our workforce operations, ensuring compliance, efficiency, and employee satisfaction across all stages of the employee lifecycle—from onboarding to offboarding. You will act as the primary liaison between employees, contractors, clients, and internal stakeholders, fostering strong relationships while maintaining meticulous records and streamlining administrative processes. Collaborating closely with the Country Manager and operational teams, you will uphold the highest standards of service, compliance, and engagement in a fast-paced, mission-driven environment.

Key Responsibilities
In this pivotal role, your responsibilities will include, but are not limited to:
- Employee Record Management: Maintain accurate, up-to-date, and confidential employee records to ensure compliance with local regulations and company policies.
- Onboarding and Offboarding Coordination: Oversee the seamless transition of employees and contractors through onboarding and offboarding processes, ensuring all documentation is collected, verified, and processed efficiently.
- Document Preparation and Compliance: Prepare and manage HR-related documents, including letters, forms, contracts, and supporting paperwork, while ensuring adherence to Saudi employment laws and government platforms such as Qiwa, GOSI, Muqeem, and Mudad.
- Government and Visa Compliance: Track critical deadlines, including Iqama, work permit, passport, contract, and insurance expiry dates, to prevent disruptions and ensure continuous compliance.
- Medical and Administrative Support: Coordinate medical examinations and insurance processes, ensuring employees meet health and safety requirements while maintaining comprehensive records.
- Employee Relations and Support: Act as the primary point of contact for employee inquiries, resolving concerns, and addressing employee relations matters with professionalism and empathy.
- Payroll and Timesheet Management: Collect, verify, and submit timesheets and payroll information accurately, collaborating with finance teams to ensure timely and error-free processing.
- Stakeholder Coordination: Follow up with employees, clients, internal teams, and external service providers to maintain smooth operations and address any operational challenges proactively.
- Operational Tracking and Reporting: Maintain and update employee, payroll, and operational trackers, providing actionable insights to support strategic decision-making.
- Support to Leadership: Assist the Country Manager with report preparation, meeting coordination, follow-ups, and task management to enhance operational efficiency.
- Additional Duties: Perform any additional HR or operational tasks as required to support the evolving needs of the business.

Qualifications and Requirements
To excel in this role, you must meet the following criteria:
- Eligibility: Applications are invited from Saudi nationals only, in accordance with Saudization requirements.
- Education: A Bachelor’s degree in Human Resources, Business Administration, or a related field is required.
- Experience: 1-5 years of hands-on experience in HR operations, employee services, administration, or workforce management. Experience in recruitment, manpower supply, outsourcing, or workforce-management companies is highly advantageous.
- Technical Proficiency: Proficiency in Microsoft Excel, Word, Outlook, and reporting tools, with a strong ability to analyze data and generate insights.
- Local Knowledge: Basic familiarity with Saudi employment processes and government platforms is essential.
- Language Skills: Fluent written and spoken Arabic and English skills are mandatory to effectively communicate with diverse stakeholders.
- Soft Skills: Exceptional organization, communication, and follow-up skills are critical to managing multiple priorities and maintaining strong relationships.
