Medical Devices Operations Coordinator – Drive Efficiency in Medical Device Operations

Join our dynamic team as a **Medical Devices Operations Coordinator**, where you will play a pivotal role in ensuring seamless coordination, regulatory compliance, and operational excellence across medical device supply chains. In this strategic position, you will bridge critical functions—from regulatory adherence to logistics and customer service—while fostering collaboration across departments to maintain smooth workflows and timely deliveries.

As the backbone of our medical device operations, you will oversee the entire lifecycle of device registrations, shipments, and customer orders, ensuring adherence to regulatory standards while optimizing internal and external processes. This role demands meticulous attention to detail, proactive problem-solving, and exceptional organizational skills to navigate complex supply chain dynamics and stakeholder interactions.

Key Responsibilities:

  • Regulatory Compliance & Device Registration: Lead the registration process for medical devices and supplies with the SFDA, ensuring full compliance with regulatory requirements and maintaining up-to-date documentation to mitigate risks and delays.
  • Logistics & Shipment Coordination: Oversee shipments, customs clearance, and delivery schedules with precision, collaborating with logistics partners to guarantee on-time deliveries while minimizing operational disruptions.
  • Customer & Order Management: Act as the primary point of contact for customer inquiries, purchase orders, and special requests, ensuring timely fulfillment and resolving any operational or logistical challenges that arise.
  • Cross-Departmental Collaboration: Facilitate seamless communication and coordination between Sales, Procurement, Finance, Logistics, and Warehouse teams to align operations, streamline workflows, and enhance overall efficiency.
  • Supplier & Stakeholder Engagement: Maintain strong relationships with suppliers and external stakeholders, ensuring timely order fulfillment, contract adherence, and continuous improvement in procurement processes.
  • Documentation & Reporting: Maintain accurate, organized records of medical device registrations, shipments, orders, and regulatory submissions, leveraging data to identify trends, resolve bottlenecks, and support strategic decision-making.
  • Operational Problem-Solving: Proactively identify and address operational inefficiencies, delays, or compliance gaps, proposing actionable solutions to enhance process resilience and customer satisfaction.
  • Process Optimization: Continuously evaluate and refine internal processes to improve speed, accuracy, and compliance, contributing to a culture of operational excellence.

  • Experience: Proven experience in medical device operations, regulatory affairs, procurement, logistics, or commercial operations—preferably within the healthcare or medical technology sector. Familiarity with SFDA regulations and customs clearance processes is highly advantageous.
  • Technical & Compliance Expertise: In-depth knowledge of SFDA medical device registration requirements, GMP (Good Manufacturing Practices), and relevant international standards (e.g., ISO 13485). Experience with documentation management systems and compliance tracking tools is beneficial.
  • Logistics & Supply Chain Acumen: Hands-on experience coordinating shipments, managing inventory, and resolving logistical challenges in a global or regional context. Proficiency in freight forwarding, customs documentation, and supply chain software is an asset.
  • Communication & Stakeholder Management: Exceptional interpersonal and communication skills, with the ability to liaise effectively with internal teams, external suppliers, and customers in both Arabic and English. Strong negotiation and conflict-resolution abilities are essential.
  • Organizational & Analytical Skills: Keen attention to detail, exceptional organizational skills, and the ability to prioritize tasks in a high-volume environment. Proficiency in Microsoft Office (Excel, Word, Outlook) and ERP/logistics software is required.
  • Problem-Solving & Adaptability: A proactive mindset with a track record of identifying operational gaps and implementing solutions. Ability to thrive in a dynamic environment where adaptability and resilience are key to success.
