As an Officer, Collection, your responsibilities will span across billing, tenant relations, financial reconciliation, and strategic planning. You will be at the forefront of ensuring seamless financial operations, leveraging your expertise to minimize delinquencies and enhance collection efficiency. Key Responsibilities
Your role will encompass a diverse range of critical activities:
- Billing and Invoicing: Issue and verify tenant invoices and receipt vouchers through the Ejar platform, ensuring accuracy and compliance with lease agreements. Review lease contracts and quotations to guarantee all financial terms are correctly documented prior to final approval.
- Tenant Relations and Collections: Engage directly with tenants to follow up on overdue payments, track payment statuses, and issue balance confirmation letters. Manage Promise-to-Pay commitments and maintain comprehensive records of all tenant interactions, ensuring transparency and accountability.
- Financial Reconciliation: Perform meticulous bank statement reconciliations and collaborate closely with the Finance team to resolve discrepancies and ensure accurate payment allocations. Your attention to detail will be instrumental in maintaining financial integrity and supporting data-driven decision-making.
- Systems and Data Integrity: Maintain and update lease contracts within SAP, ensuring data accuracy and system reliability. Generate and organize collection reports, tenant comments, and supporting documentation, including Receipt Vouchers (R.V.), to support financial audits and reporting.
- Strategic Planning: Conduct periodic collection reviews to identify trends and drivers of delinquency. Develop actionable plans to improve weekly collections and align financial strategies with cash flow requirements. Your insights will directly contribute to optimizing our financial workflows and reducing outstanding balances.
- Stakeholder Management: Build and nurture collaborative relationships with internal Finance teams, Leasing, Accounting, and other departments to resolve collection issues efficiently. Act as a liaison between tenants and internal stakeholders, ensuring clear communication and professionalism in all interactions. Escalate complex delinquency issues to management for resolution, maintaining a proactive approach to risk mitigation.
- Reporting: Prepare and present weekly reports on collection activities, highlighting achievements and areas for improvement. Develop monthly cash flow outlooks and collection plans, providing leadership with the insights needed to make informed financial decisions. Monitor invoicing processes to identify and report delayed or missed invoices promptly, ensuring timely financial visibility.
- Record Keeping: Maintain meticulous and accurate customer account records, ledgers, and transaction histories. Ensure all collection activities and payment statuses are properly documented, supporting compliance and audit readiness. Preserve historical and intercompany transaction data with precision, contributing to long-term financial transparency.

Qualifications

- Proficiency in SAP systems, as this will be a core tool for managing lease contracts and financial data.
