Position Overview
We are seeking a highly skilled and experienced Property Manager to join our dynamic team. In this pivotal role, you will collaborate closely with the Assets Management Director and the KSA & Bahrain teams to oversee and enhance our current property portfolio. Your responsibilities will encompass lease renewals, rental negotiations, financial viability assessments, and strategic portfolio optimization. This position is ideal for a seasoned professional with a proven track record in multi-unit property management, lease administration, and cost optimization, ensuring alignment with Americana’s Terms and Conditions and market best practices.
Key Responsibilities
The Property Manager will play a critical role in driving operational efficiency and financial performance through the following core functions:
- Lease Negotiation and Financial Viability: Conduct negotiations with landlords to secure favorable lease terms, ensuring financial viability and market parity. Assess store performance to inform renewal strategies and manage the renewal process in accordance with company policies.
- Documentation and Approval Management: Prepare and finalize lease renewal documentation, obtain necessary internal approvals, and oversee the legal review process to ensure compliance and accuracy.
- Cross-Functional Coordination: Act as a liaison between internal stakeholders, including Real Estate Portfolio Managers, Operations, Finance, and Legal departments, to streamline lease renewal processes and foster collaborative decision-making.
- Reporting and Performance Tracking: Develop and maintain daily and weekly leasing reports to monitor progress, track performance metrics, and provide actionable insights to senior management.
- Proactive Lease Renewal Strategy:
- Initiate lease renewal discussions at least six months prior to lease expiry or critical dates to secure early agreements.
- Prioritize high-performing stores and flagship locations, targeting lease renewals four months before critical dates to minimize disruptions.
- Database and Portfolio Management: Maintain an accurate and up-to-date database of the property portfolio, including lease details, financial terms, and critical dates, to support strategic decision-making and early renewal initiatives.
- Market Intelligence and Competitive Analysis: Stay abreast of market trends, rental rates, and competitive developments within each trade zone. Utilize this knowledge to adapt lease renewal strategies and optimize portfolio performance.
- Landlord Relationship Management: Cultivate and sustain strong relationships with landlords and property owners. Conduct regular portfolio review meetings to align on objectives, address concerns, and foster long-term partnerships.
- Cost Optimization and Financial Stewardship: Drive cost efficiency by monitoring and challenging property-related expenses, minimizing inflation, and delivering measurable savings to the business without compromising operational integrity.
- Store Profile and Documentation Management: Maintain comprehensive store profiles, including essential documents such as land deeds, owner identification, utility bills, and official layouts, to ensure compliance and operational readiness.
- Store Disposal and Optimization:
- Identify and execute cost-effective disposal strategies for closed or surplus stores, aligning with market conditions and business objectives.
- Explore store optimization opportunities, such as internal or external carve-outs, to enhance operational efficiency and profitability.
- Asset Utilization and Disposal: Identify underutilized assets and develop actionable strategies for their disposal or repurposing in collaboration with senior leadership.
- Store Closure Management: Oversee the store closure process in strict adherence to company protocols, ensuring timely handover and compliance with contractual obligations to avoid fines or penalties.
Collaboration and Stakeholder Engagement
The Property Manager will engage with a diverse range of internal and external stakeholders to achieve operational excellence and strategic goals:
- Internal Relationships: Real Estate, Lease Administration, GRD, Legal, Finance, Operations, and Maintenance teams.
- External Relationships: Landlords, retailers, and property owners.
Qualifications and Competencies
To excel in this role, candidates must possess the following qualifications and attributes:
- Experience: 8-10 years of post-graduate experience in property management, preferably within a multi-unit development environment.
- Professional Integrity and Confidence: Demonstrate unwavering professional integrity, confidence, and consistency in decision-making and interactions.
- Negotiation and Conflict Resolution: Exhibit steadfastness in opinions, the ability to handle conflicts diplomatically, and experience in negotiating with landlords.
- Commercial Acumen: Possess a broad commercial mindset, determination, and a process-driven approach to achieve results.
- Customer Service and Negotiation Skills: Showcase exceptional customer service orientation and advanced negotiation capabilities to drive favorable outcomes.
- Technical Proficiency: Strong proficiency in Microsoft Excel and other relevant tools to support data analysis and reporting.
- Nationality: Saudi national preferred.
