Key Responsibilities
The Team Coordinator will play a pivotal role in document and data management, ensuring seamless operations and adherence to established procedures. Your core responsibilities will include:
- Document and Data Management: Implement and administer document control and records management solutions, ensuring compliance with pre-established requirements such as document numbering systems and approval signatures. Process various document types through procedural steps in accordance with well-defined guidelines.
- Document Tracking and Reporting: Receive, track, and monitor documents using standard document management programs. Register documents, maintain databases, and produce logs, transmittals, and other required reports. Enter data and generate reports using office automation or department-specific applications, including routine correspondence related to your area of responsibility.
- Technology and Process Improvement: Stay current with departmental technologies, techniques, and services relevant to your role. Collaborate with team members to develop and enhance services, adapting to technological changes and participating in decision-making activities to meet customer needs.
- Information Management: Provide assistance to users in capturing and locating electronic information. Maintain and revise data distribution systems and schedules to ensure timely approvals and distribution based on client, project, department, and supplier requirements.
- Document Retention and Disposal: Verify retention requirements, arrange cataloging, packing, and long-term storage or disposal of documents at project closeout. Manage scheduled destruction of archived documents in compliance with company and client guidelines, and assist with document retrieval as needed.
- Team Leadership and Support: Delegate and direct the work activities of the project document control team. Assist junior staff in implementing project-specific procedures and contribute to the review of contract documents and conditions. Serve as a liaison between support groups, home office, and field personnel, interfacing with internal and external stakeholders.
- Compliance and Legal Knowledge: Demonstrate a strong understanding of Saudi purchasing law and ensure all processes align with relevant regulations and company policies.
Required Skills and Qualifications
To excel in this role, you will bring the following qualifications and competencies:
- Experience: Minimum of 3 years of relevant work experience in document control, records management, or a related field.
- Technical Proficiency: Expertise in Microsoft Office Suite, including Word, PowerPoint, and Excel. Experience with electronic document management systems is highly desirable.
- Communication and Organization: Exceptional written and oral communication skills, with a strong ability to organize tasks efficiently and interact effectively with project personnel and management.
