Position Overview
We are seeking a meticulous and proactive Warehouse & Inventory Custodian to join our dynamic team. In this pivotal role, you will be responsible for overseeing the receipt, storage, issuance, and management of company assets and inventory while ensuring operational efficiency, accuracy, and compliance with established protocols. Your expertise will be instrumental in maintaining optimal inventory levels, safeguarding company resources, and supporting seamless logistics across multiple departments and external partners.
Key Responsibilities
The Warehouse & Inventory Custodian will execute a comprehensive range of duties to uphold the integrity and functionality of our warehouse operations. Your core responsibilities will include:
- Warehouse Management:
- Receive company assets and inventory items, verifying that quantities and specifications align with approved purchase orders.
- Accurately record all receiving transactions in the designated inventory system to ensure data integrity.
- Identify and report any discrepancies, damages, or shortages during the receiving process to prevent operational disruptions.
- Organize and store inventory within the warehouse to maximize efficiency, accessibility, and space utilization.
- Ensure all items are stored under appropriate conditions to maintain quality and compliance with safety standards.
- Uphold warehouse cleanliness, safety protocols, and security measures to foster a secure and productive work environment.
- Inventory Issuance & Management:
- Distribute inventory and assets to internal teams, fulfillment partners, retail locations, and external events as authorized.
- Release items exclusively against approved requests to maintain accountability and control.
- Record all issuance transactions promptly and accurately in the inventory system or designated records.
- Monitor stock levels to prevent shortages and proactively notify management when replenishment is required.
- Coordinate with the warehouse team to prepare orders and facilitate seamless fulfillment processes.
- Ensure the availability of essential packaging materials, such as cartons, bags, bubble wrap, and labels, to support uninterrupted operations.
- Inventory Counting & Reconciliation:
- Conduct periodic and annual physical inventory counts to validate system records and identify variances.
- Reconcile discrepancies between physical counts and system data, investigating root causes and preparing detailed reports for management.
- Report slow-moving, low-stock, damaged, or obsolete inventory to facilitate timely decision-making.
- Asset Custody & Reporting:
- Safeguard company assets and inventory against damage, loss, or misuse through diligent monitoring and adherence to security protocols.
- Promptly report damaged, expired, or obsolete items to the Finance Department for further action.
- Prepare and submit periodic reports on inventory movements, asset utilization, and operational performance to support strategic planning.
- Generate daily operational reports to enhance visibility and efficiency across warehouse and retail operations.
Qualifications & Skills
To excel in this role, you must possess a blend of technical proficiency, analytical acumen, and strong interpersonal abilities. The ideal candidate will meet the following requirements:
- Technical Proficiency:
- Hands-on experience with Warehouse Management Systems (WMS) to streamline inventory tracking and reporting.
- Advanced proficiency in Microsoft Excel, including the ability to create complex spreadsheets, pivot tables, and data analysis tools.
- Operational Excellence:
- Exceptional organizational and time-management skills to prioritize tasks and meet deadlines in a fast-paced environment.
- Meticulous attention to detail to ensure accuracy in inventory records, transactions, and reporting.
- Strong analytical capabilities to monitor inventory trends, identify variances, and recommend process improvements.
- Communication & Collaboration:
- Clear and concise written and verbal communication skills to liaise effectively with cross-functional teams, including Operations, Finance, and Retail.
- Ability to coordinate with external partners, such as fulfillment teams and vendors, to resolve logistical challenges.
- Compliance & Safety:
- Commitment to adhering to warehouse safety protocols, security measures, and regulatory requirements.
- Proactive approach to identifying risks and implementing corrective actions to mitigate potential issues.
Preferred Experience
While not mandatory, prior experience in warehouse operations, inventory management, or logistics within a corporate or retail environment is highly desirable. Familiarity with barcode scanning systems, ERP software, and inventory auditing procedures will be considered an asset.
