Junior Procurement Officer

Position Overview

We are seeking a motivated and detail-oriented Junior Procurement Officer to join our dynamic retail team. Reporting directly to the Operations Manager, this role is pivotal in driving efficient sourcing, purchasing, and supply chain operations. The ideal candidate will ensure that products, supplies, and services are procured cost-effectively, delivered punctually, and maintained at optimal inventory levels. This position requires close collaboration with suppliers, logistics partners, warehouse teams, finance, and retail departments to uphold seamless business operations and meet strategic objectives.

Key Responsibilities

The Junior Procurement Officer will be responsible for a range of critical procurement activities, including:

• Supplier Sourcing and Management: Identify and evaluate potential suppliers, both locally and internationally, to secure high-quality products and services at competitive prices.
• Purchase Order Processing: Prepare, review, and process purchase orders in strict adherence to established procurement policies and procedures to ensure compliance and accuracy.
• Cost Analysis and Negotiation: Obtain and compare quotations from multiple suppliers, analyze pricing structures, and recommend the most cost-effective purchasing decisions without compromising quality.
• Supplier Coordination: Maintain strong relationships with suppliers to confirm order details, track delivery timelines, and address any discrepancies or delays promptly.
• Logistics and Shipment Tracking: Collaborate with freight forwarders and logistics providers to monitor shipments, resolve transit issues, and ensure timely delivery of goods.
• Inventory Management Support: Monitor stock levels, forecast demand, and work closely with warehouse teams to facilitate timely stock replenishment and minimize shortages or excesses.
• Documentation and Record-Keeping: Maintain meticulous procurement records, update supplier databases, and ensure all purchasing documentation is accurate, complete, and accessible for audits and reporting.
• Cross-Functional Collaboration: Partner with retail, warehouse, and finance teams to align procurement activities with operational needs, budget constraints, and strategic goals.
• Issue Resolution: Proactively address supplier-related challenges, delivery delays, and procurement discrepancies to minimize disruptions to business operations.
• Performance Reporting and Improvement: Assist in generating procurement reports, tracking supplier performance metrics, and identifying opportunities for process optimization to enhance efficiency and reduce costs.

Qualifications and Skills

To excel in this role, candidates should meet the following criteria:

• Education: Bachelor’s degree or Diploma in Business Administration, Supply Chain Management, Procurement, Logistics, or a related field.
• Experience: Minimum of 1–3 years of relevant experience in procurement, purchasing, supply chain management, or inventory control, with a preference for candidates with retail procurement experience.
• Technical Proficiency: Strong working knowledge of Microsoft Excel and Microsoft Office Suite. Familiarity with ERP systems or procurement software is considered a valuable asset.
• International Sourcing: Prior experience with imported products or international suppliers is advantageous.
