Position Overview
HanmiGlobal Saudi is seeking a meticulous and seasoned Senior Document Controller (Infrastructure) - LDIP to oversee and optimize document control processes for infrastructure and land development projects. The ideal candidate will play a pivotal role in maintaining the accuracy, integrity, and compliance of all project documentation throughout its lifecycle. This position demands extensive experience in document control within Program Management Consultancy (PMC) or engineering consultancy environments, along with a deep understanding of document management systems. The Senior Document Controller will collaborate closely with multidisciplinary teams, including clients, consultants, contractors, and internal stakeholders, to ensure seamless document flow and adherence to project governance standards.
Key Responsibilities
The Senior Document Controller will be responsible for the following core functions:
- Document Control Management:
- Oversee the comprehensive document control process for infrastructure and land development projects, ensuring all incoming and outgoing documents are logged, distributed, tracked, and archived with precision.
- Enforce document numbering protocols, revision control mechanisms, transmittals, and document registers in alignment with established project procedures.
- Validate document quality, completeness, and compliance prior to distribution to prevent errors and ensure consistency.
- Document Management Systems Administration:
- Manage and maintain advanced Electronic Document Management Systems (EDMS) such as Aconex, Autodesk Construction Cloud (ACC), SharePoint, or other approved platforms to facilitate efficient document handling.
- Monitor document workflows, approval cycles, and review processes to ensure timely processing and minimize delays.
- Uphold document metadata standards, filing structures, and naming conventions in accordance with project-specific requirements.
- Project Coordination and Collaboration:
- Act as a liaison between project managers, design managers, engineers, consultants, contractors, and clients to facilitate document submissions and approvals.
- Provide multidisciplinary teams with timely access to the most recent approved documents to support project execution.
- Track document review statuses and proactively follow up on pending actions to maintain project momentum.
- Quality Assurance and Compliance:
- Ensure strict adherence to company document control procedures, project requirements, and client-specific standards throughout the document lifecycle.
- Maintain comprehensive audit trails for all document transactions to support accountability and transparency.
- Assist in internal and external audits by providing accurate document records and evidence of compliance.
- Safeguard confidential and sensitive project information in compliance with data security protocols.
- Reporting and Documentation:
- Prepare and distribute weekly and monthly document control reports, including submission statuses, overdue documents, and approval metrics to project leadership and clients.
- Maintain and update critical registers, including document registers, transmittal logs, drawing registers, and correspondence logs to ensure traceability.
- Provide actionable insights and recommendations to enhance document control efficiency and project governance.
- Continuous Improvement:
- Identify opportunities for process optimization and recommend enhancements to document control workflows and systems.
- Champion the adoption of digital document management solutions and automation tools to streamline operations and reduce manual intervention.
- Mentor junior document controllers and provide guidance to foster professional growth within the team.
Qualifications and Experience
To qualify for this role, candidates must meet the following criteria:
- Education: Bachelor’s degree in Business Administration, Information Management, Engineering, or a related field. Professional certifications in Document Control or Information Management are highly advantageous.
- Experience:
- Minimum of 7-10 years of progressive document control experience within PMC, engineering consultancy, construction, or infrastructure projects.
- Proven track record in supporting land development, infrastructure, roads, utilities, or mega projects from inception to completion.
- Hands-on experience managing a diverse range of engineering documents, including drawings, technical specifications, RFIs, submittals, reports, and project correspondence.
- Demonstrated ability to work effectively with international consultants and multidisciplinary project teams in fast-paced environments.
