Job Overview: Culinary Admin Executive

We are seeking a meticulous and proactive Culinary Admin Executive to join our dynamic culinary team. In this pivotal role, you will provide comprehensive administrative and analytical support to ensure seamless operations across our global culinary initiatives. Your responsibilities will span data analysis, administrative coordination, project management, and cross-functional collaboration, all aimed at driving efficiency and excellence in our food and beverage operations. This position is ideal for an organized, detail-oriented professional with a passion for operational excellence and a knack for turning data into actionable insights.

Key Responsibilities

• Data Analysis and Reporting: Analyze food and beverage (F&B) cost reports, sales trends, and hygiene trackers to identify actionable insights and opportunities for cost optimization and performance improvement. Prepare and present monthly dashboards highlighting key performance indicators such as wastage, procurement efficiency, and social media scores to stakeholders.
• Administrative and Operational Support: Maintain and update the culinary intranet, operational manuals, and strategic roadmaps to ensure teams have access to the latest guidelines and resources. Consolidate and report weekly revenue and cost trackers for F&B activities, providing real-time visibility into financial performance. Leverage advanced proficiency in Microsoft 365, automation tools, and ERP systems to streamline processes and enhance productivity.
• Cross-Functional Coordination: Assist the culinary team with business travel arrangements, ensuring seamless logistics for team members. Coordinate with country-specific culinary teams to execute festive promotions and manage promotional materials. Support special projects and ad-hoc tasks, contributing to the development of marketing collateral and other strategic initiatives.
• Project Management: Manage records, filing systems, and project trackers to maintain organization and accountability. Develop and maintain task trackers for various stages of project execution, ensuring timely completion and alignment with business objectives. Collaborate with internal and external departments to manage timelines, submissions, and deliverables. Assist in the preparation of Requests for Proposal (RFPs) and presentations, with a working knowledge of AutoCAD as a plus.

Qualifications and Skills

• Experience: Proven track record in a fast-paced administrative or operational support role, preferably within the hospitality, food and beverage, or travel industry.
• Analytical and Technical Proficiency: Strong analytical and problem-solving skills, with the ability to interpret complex data and translate it into clear, actionable insights. High proficiency in Microsoft Office Suite, particularly Excel, including advanced skills in VBA, Macros, and data visualization tools. Experience with automation tools and data analysis software is essential.
• Automation and RPA Expertise: Relevant certifications or hands-on experience in Robotic Process Automation (RPA) are highly desirable. Ability to design bespoke workflows, create custom connectors, and implement conditional logic using tools such as Power Automate or UiPath. Knowledge of control actions like Delay, Terminate, and Scope to manage flow execution and handle errors is a valuable asset.
• Organizational and Communication Skills: Exceptional organizational abilities, time management, and attention to detail. Strong written and verbal communication skills, with the capacity to collaborate effectively across global teams and present findings to stakeholders.
